Administration of Human Resource Programs

The Program Support Assistant at the Albuquerque New Mexico VA Health Care facility will serve as the Administrative Assistant for the Anesthesiology Service. This role involves representing the Chief of Anesthesiology Service in various administrative matters and working under the direct supervision of the Administrative Officer. The incumbent will assist in planning, developing, and managing administrative functions, ensuring compliance with healthcare guidelines, and optimizing service efficiency.

  • Assist the Chief, Anesthesiology Service in planning, developing, directing, and managing all administrative functions of the service.
  • Analyze existing administrative policies and gather information through surveys and investigations to evaluate administrative methods and procedures.
  • Assist in developing and implementing policies and procedures to optimize efficiency and utilization.
  • Develop, implement, and analyze patient care monitors to assure compliance with JCAHO guidelines and SERP criteria.
  • Monitor clinical staff manpower and resource utilization, and identify the need for change based on cost analysis of medical supplies and equipment.
  • Serve as the timekeeper for all employees of the Service.
  • Act as the Automed Data Processing Application Coordinator (ADPAC) and the TMS coordinator for the Service.
  • Record minutes of meetings and monitor the maintenance of personnel folders for Anesthesiology Service Medical staff.
  • Prepare and consolidate correspondence related to physician applications for credentials.
  • Coordinate the gathering of information from other Service Chiefs and assist in generating administrative reports and workload analyses.
  • Provide information for design layout and equipment needs for new constructions or modifications.
  • Work with Human Resource Management service in classification review and assist in updating position descriptions and personnel actions.
  • Advise employees in training and help develop education and training programs.
  • Serve as the liaison between the Anesthesiology Service and trainees from other disciplines.
  • Confirm completion of necessary training requirements for residents/trainees before patient care activities.
  • Assist in recruitment activities and coordination of dual appointments for new medical staff members.
  • Gather information for statistical reports required by the Regional Director or Medical Center Director.
  • Assist in administering Anesthesiology Service contracts and monitor for conformity.
  • One year of specialized experience equivalent to at least GS-06 level in the normal line of progression for the occupation.
  • Experience in reviewing position descriptions and personnel actions for promotions and recruitment requirements.
  • Ability to gather necessary information and prepare reports, contracts, and correspondence.
  • Experience in monitoring manpower, medical supplies, and equipment utilization.
  • Skills in scheduling meetings and processing employee timecards.
  • Experience in healthcare administration or support roles.
  • Familiarity with Joint Commission on Accreditation of Healthcare Organizations (JCAHO) guidelines.
  • Knowledge of medical staff credentialing processes.
