About The Position

The Program Supervisor leads a team of Shelter Monitors in the operation of a 24/7 men’s homeless shelter in accordance with Agency Policies and Procedures, 801 East Men’s Shelter Program Rules, Agency contractual requirements, and best practices.

Requirements

  • High School or GED required.
  • 2 years of direct service experience working with the adult homeless or other vulnerable population.
  • 3 years of both administrative and functional supervision experience of at least 5 subordinates.
  • Ability to supervise and train employees and foster a cooperative work environment.
  • Skill to operate job-related equipment including the use of computer systems (MS Office products), including Excel, Outlook, Credible and remote access.

Responsibilities

  • Functionally supervise by leading a team of Shelter Monitors on an 8-hour shift in the safe and orderly operation of a 24/7 adult men’s shelter with approximately 250 clients on a given shift.
  • Create work schedules and issue work assignments, ensuring the facility is properly staffed at all times.
  • At the beginning of each shift meet with the off-going Program Supervisor, conduct an initial tour of the assigned areas , noting any discrepancies or irregularities.
  • Accompany each Shelter Monitor on at least one of their rounds to observe their performance and coach if needed.
  • Annotate time and name of each Shelter Monitor observed in end-of-shift report along with observations, discrepancies, and any coaching provided.
  • Visit each Shelter Monitor post at least once every two hours to ensure they are alert and to inspect their logbooks.
  • Annotate time and name of each Shelter Monitor check-in on the end-of-shift report along with observations, logbook discrepancies, any instances of Shelter Monitors not being fully alert / attentive, and any coaching provided.
  • Proactively and courteously liaise with Agency partners who also support the shelter’s operations (e.g. security, hospitality).
  • Submit an end-of-shift report to the Operations Manager which will include, in addition to items (c) and (d) above: time shift began and ended, a thorough accounting of any incidents requiring the submission of an Unusual Incident Report, and any other discrepancies or items of potential interest to 801 East leadership.
  • Provide administrative supervision to assigned Shelter Monitors (direct reports).
  • Monitor performance, conduct, and adherence to policy.
  • Coach, counsel, and initiate corrective action as required.
  • Validate and approve timecards.
  • Track and report on progress and completion of training assigned by the Agency and by The Community Partnership for the Prevention of Homelessness (TCP).
  • Assist in scheduling live / in-person trainings.
  • Take corrective action as needed to resolve delays in training completion.
  • Conduct professional development for direct reports.
  • Execute the annual performance management cycle for direct reports.
  • Recruit and hire new staff to fill vacancies.
  • Prepare and submit hiring packets for Chief Operating Officer and Human Resources approval.
  • Liaise with Human Resources to onboard new hires.
  • Oversee and maintain quality program practices, ensuring compliance with best practice standards, contract grant requirements, and agency practices and procedures.
  • Implement Corrective Action Plan to address deficiencies identified through the agency CQI process.
  • Update the program’s practices and procedures, and program manual as needed.
  • Enable staff participation in quality improvement.
  • Perform liaison activities with community partners.
  • Coordinate the preparation and timely submission of all external and internal program reports.
  • Ensure prompt and accurate submission of incident reports.
  • Perform other job-related duties as assigned
