About The Position

The Advising Technology and Student Success Specialist position serves as a vital member of our team, supporting the Academic Advising department¿s strategic initiatives by obtaining operational insights derived from data, enhancing and streamlining advising processes and student experiences, facilitating the use of advising technology tools, and contributing to overall student success outcomes. This position is responsible for managing, analyzing and optimizing standardized practices for critical advising functions within the institution's system of record. Under the supervision of the Director of Advising, this position will coordinate the collection, analysis, and reporting of student advising data, which may include but is not limited to assigning, tracking, updating, and utilizing information from student milestones, student alerts, satisfactory academic progress statuses, and advisor caseloads on a campus-wide basis. The Advising Technology and Student Success Specialist will play a key role in assessing, recommending, and implementing strategic processes for the storing of advising records (e.g. academic plans, templates, advising notes). They will also contribute to the facilitation and marketing of advising initiatives, including transfer and job-readiness advising events, post-grad data tracking, and other experiences that enhance student success, with a particular focus on the Guided Pathways advising model. This role works primarily with Advising department staff, and closely with Leadership, IT, Marketing, Instruction, and other college areas to ensure consistent and optimal practices that facilitate student progression, retention, and completion. They will be responsible for maintaining student account information, developing and implementing effective processes, and providing training to foster campus-wide data-driven advising practices. Requirements

  • Minimum of two (2) years of experience working within an educational setting that utilizes a Student Information System (SIS) and/or Customer Relationship Management (CRM) systems (e.g., ctcLink/PeopleSoft, Navigate, Starfish, Salesforce).
  • Minimum of two (2) years of experience working within data analytics, data management, or quantitative research OR commensurate experience in a combination of the two above settings, of at least four (4) years total.
  • Strong analytical and problem-solving skills with the ability to interpret data results and translate findings into clear, concise reports and presentations.
  • Proficiency in using data analysis and visualization tools (e.g., Excel, Google Sheets, Power BI, SSRS, etc.).
  • Demonstrated skill working with technological tools (e.g., Adobe/PDF, web editing, scheduling, formula-driven templates).
  • Excellent written and verbal communication skills, with the ability to explain and present technical or complex information and concepts to non-technical audiences.
  • Demonstrated commitment to accuracy, attention to detail, institutional protocol and data integrity.
  • Ability to work both independently and collaboratively on assigned tasks, projects, groups, and initiatives.

Nice To Haves

  • Experience working in a community college environment.
  • Familiarity with academic advising processes, student success initiatives, and advising models/theories.
  • Knowledge of Guided Pathways and ctcLink (Peoplesoft).
  • Degree or certificate in technology, data analytics, higher education, or related fields.

Responsibilities

  • Participate in the development of and training on advising technology tools, focusing on optimizing functions within the student information system.
  • Manage campus-wide advising caseload assignment within the student information system, including initial assignment to new students and advisor assignment changes.
  • Facilitate assigned components of student ¿early¿ alert practices including template generation, alert response, and campus-wide training on tool use.
  • Manage the assignment, updating, and completion of advising milestones for all student accounts.
  • Run queries to create reports on milestones, alerts, advising data, and student success metrics.
  • Track appropriate data on departmental services and operations (as determined by Director and Assistant Director) while maintaining documentation of data sources, extraction processes, and data definitions.
  • Collect and assess advising data and records to inform operations and practices.
  • Perform statistical analysis to identify patterns related to student retention, completion, and academic performance, as well as those related to advising effectiveness.
  • Work closely with academic advisors, directors, and other college staff to understand broad advising data needs, and to develop systems for tracking and reporting them.
  • Communicate data-based insights in an accessible and understandable manner to non-technical audiences through reports, presentations, and discussions.
  • Provide training and support to staff on utilizing advising and academic planning technology, with a focus on user-end experiences, standardized procedures, and policy compliance.
  • Identify opportunities to improve advising data collection, storage, and reporting processes, with a strong emphasis on optimizing these processes within the student information system of record (ctcLink).
  • Contribute to the facilitation of advising success initiatives, projects, and events including but not limited to communication, scheduling, marketing, and session execution.
  • Participate in cross-functional teams relating to student information systems, advising technology tools, and Guided Pathways practices.
  • Other duties and projects as assigned by the Director or Assistant Director of Advising
