About The Position

Stella’s Intensive Outpatient Program (IOP) is a fully virtual program for patients located in California. Our curriculum blends evidence-based psychotherapy, skills training, experiential modalities, and integrated psychiatric care. Some patients enroll solely in IOP, while others participate in IOP alongside interventional or routine psychiatric services offered by Stella’s providers. The program emphasizes flexibility, connection, and whole-person support across the treatment journey. We are seeking a detail-oriented, organized, and compassionate Program Manager to support the launch, ongoing growth, and admissions of this program.

Requirements

  • Minimum 2 years of experience in mental health, preferably within IOP, PHP, outpatient psychiatry, or similar settings.
  • Strong communication and interpersonal skills, with the ability to support patients compassionately while maintaining professional boundaries.
  • Highly organized, detail-oriented, and comfortable managing multiple responsibilities in a fast-paced clinical environment.
  • Experience with scheduling, admissions, or front-end patient coordination.
  • Ability to work independently and collaboratively within a remote clinical team.

Nice To Haves

  • Clinical training (e.g., BA/BS in psychology or related field, MA/MS, AMFT, ACSW, APCC, etc.).
  • Experience in higher levels of care or virtual behavioral health settings.
  • Familiarity with interventional psychiatry (TMS, ketamine/Spravato) is helpful but not required

Responsibilities

  • Serve as the first point of contact for prospective IOP patients.
  • Guide patients through the intake process, including screening, documentation collection, benefits review coordination, and scheduling.
  • Ensure timely follow-up with all new inquiries and referrals.
  • Provide a warm, organized, and supportive onboarding experience from inquiry through admission.
  • Oversee daily program flow and group logistics for the virtual IOP.
  • Support a therapeutic and structured milieu that promotes engagement and safety.
  • Manage attendance records, communicate participation concerns, and assist with care coordination as needed.
  • Troubleshoot technical/logistical issues for virtual groups.
  • Act as the central communication point for patients, therapists, psychiatric providers, and leadership.
  • Relay updates, concerns, or changes to the clinical team promptly.
  • Support continuity of care by maintaining clear, responsive communication channels.
  • Work closely with the Clinical Director, Director of Clinical Operations, therapists, and medical staff to support treatment planning, workflow optimization, and program consistency.
  • Assist with operational tasks that enhance program quality and efficiency.
