About The Position

The University of Louisville School of Nursing is seeking to hire a Program Manager I. The position is essential to the management and expansion of our network of preceptors by recruiting new clinical partners and coordinating placements for nurse practitioner students across established and new sites. The ideal candidate will communicate frequently and clearly to oversee preceptor onboarding as independent contractors, ensure institutional and regulatory compliance, and maintain accurate placement data in support of program accreditation requirements. Working collaboratively with a team of clinical coordinators, this role ensures that all students are placed in rotations that fulfill certification and accreditation standards. Strong organizational skills are essential, as the position will manage and maintain comprehensive spreadsheets tracking placement data, preceptor credentials, and accreditation metrics. This individual will need to be efficient and self-motivated to provide nurse practitioner students with high quality clinical experience.

Requirements

  • Bachelor's degree in a related field and four (4) years of relevant experience or an equivalent combination of education and experience.
  • Unencumbered driver’s license and car required for visiting clinical sites.
  • Advanced competency in Microsoft Word and Excel including the ability to create, manage, and maintain shared complex spreadsheets for tracking placement data, generating professional correspondence, and producing reports in support of program and accreditation requirements.
  • Frequent emailing, phone communication and in person contact are also required.

Responsibilities

  • Collaborate with faculty to coordinate clinical placement experiences for nurse practitioner students.
  • Recruit and retain preceptors through phone, email, and in-person contact.
  • Collect required documents, including preceptor agreements, preceptor CVs, and permissions in a timely manner.
  • Maintain a clinical placement database and run preceptor/student reports of clinical activities as necessary.
  • Manage the student clinical placement software (e.g., Typhon and CastleBranch) as a part of clinical placement.
  • Frequent communication with program leadership and track coordinators to determine specific student clinical placement requirements.
  • Frequent communication with clinical sites to determine institutional onboarding needed for clinical placements.
  • Frequent communication with students and program leadership to facilitate institutional onboarding needed for clinical placements.
  • Demonstrate an understanding that clinical placement sites operate within strict communication timelines and proactively identify, acknowledge, and adhere to site-specific deadlines.
  • Assist in onboarding preceptors as independent contractors.
  • Initiate payments for preceptors who are independent contractors.
  • Unencumbered driver’s license and car required for visiting clinical sites (mileage reimbursement provided if greater than 10 miles from the school of nursing).
  • Demonstrate appreciation to current preceptors by tracking and sending precepted hour verification reports and facilitating other preceptor appreciation activities.
  • Communication responsibilities include advanced competency in Microsoft Word and Excel including the ability to create, manage, and maintain shared complex spreadsheets for tracking placement data, generating professional correspondence, and producing reports in support of program and accreditation requirements.
  • Frequent emailing, phone communication and in person contact are also required.
  • Attend and assist with APRN specific celebration or recruiting events.
  • Offer logistic support (set-up, operations, and take-down) at APRN events such as graduation, white coat ceremony, APRN conferences and Alumni events (5 to 6 events a year, occasionally on weekends and evenings).
  • Serve as an ambassador of the School of Nursing, cultivating relationships with current and future preceptors. This could include preceptor recruitment at conferences or preceptor appreciation events.
  • Other duties as assigned.
