About The Position

As the Clinical Trials Finance Program Manager, you will be part of the central administration finance and contract team in the FACTS office leading and owning the centralized clinical trials financial program supporting assigned Departments from clinical trials budget planning, feasibility, and forecasting to account reconciliation, collection, and study close-out. You will lead site start-up activities and ensure that every aspect of clinical research finance is built on accuracy, transparency, shaping processes from the ground up—with the freedom to design smarter and more efficient systems and the support of a centralized finance team behind you. The Project Manager will report into the Associate Director of Finance in FACTS and serve as a resource for all phases of clinical trials from initiation to closeout in designated clinical areas while supporting the Senior Associate Dean with developing new initiatives to enhance research efficiency and scalability.

Requirements

  • Bachelor’s Degree Required
  • Minimum of 5 years of experience in clinical research, including managing investigator-initiated trials preferred.
  • Progressive managerial related experience specific to area of responsibilities preferably in the areas of project management, change management, health care delivery re-design or integration, health policy reform.
  • Effective written and oral communication skills
  • Effective interpersonal skills; able to establish good working relationships and collaborate with networks of employees of all levels; able to foster cooperation in others; creative problem-solver.

Responsibilities

  • Lead all aspects of industry-funded clinical trial finances, including study start-up, account collection, reconciliation, budget planning, billing compliance and management.
  • Design and implement financial processes, workflows, and systems that scale across multiple departments and locations across the health system while monitoring financial performance and reconcile expenses to ensure adherence to budgets.
  • Manage timelines, deliverables, and resources for clinical research projects and initiate research personnel transactions and liaison with human resources and/or position control for new and replacement positions.
  • Work within the FACTS financial team while partnering with our contract specialists, IRB office, ancillary research administration offices, department leadership, research staff, and finance leadership to align clinical trial finances with overall practice and health system goals.
  • Assist department research staff with trial activation including account set up, EPIC and OnCore calendar build and training coordinators on how to link encounters appropriately for billing compliance.
  • Develop, implement, and maintain systems to track progress, milestones, and deliverables across the portfolio for assigned department’s annual budget forecasts and long-term financial models that anticipate growth in clinical trials portfolio.
  • Ensure financial practices meet industry standards, sponsor obligations, and internal governance requirements.
  • Provide operational excellence by collaborating with internal stakeholders and maintaining accurate reporting systems and prepare P/L analysis to FACTS leadership by department.
  • In collaboration with ORS, develop and implement training programs for faculty and staff involved in clinical research pre and post award administration.
  • Serve as the primary point of contact between investigators, research teams, sponsors, and institutional leadership.
  • Facilitate regular meetings with stakeholders to provide updates on project status, address challenges, and ensure alignment with organizational goals.
