About The Position

The Program Coordinator works as a member of an interdisciplinary team to implement and monitor services, while supporting a Trauma-Informed Care environment. With the high prevalence of trauma among individuals receiving mental health services, the Program Coordinator must understand the effects of trauma on health, coping, and other aspects of the lives of those we serve. This position is primarily responsible for coordinating program operations, service delivery, ensuring compliance with policies, regulations, and program requirements. The Program Coordinator helps clients in achieving individual goals, maintaining stability, and transitioning to a less restrictive setting where applicable. This position must understand, appreciate, and respect the diversity and cultural differences within our Cascadia community. As such, it is expected that this position promotes integrated care, our vision of trauma-informed and person-first approaches, and helps create a work environment of inclusion, safety, and acceptance.

Requirements

  • Bachelor’s degree in a behavioral science field OR three years of full-time professional experience working with adults with severe and persistent mental illness.
  • Must meet Oregon Administrative Rules (OARs) requirements to be credentialed as a Qualified Mental Health Associate (QMHA). Certification must remain current and compliant with MHACBO standards.
  • Possess a valid drivers license, three-year driving history; clean driving record, ability to pass Driver Motor Vehicle (DMV) check and complete the Cascadia online Defensive Driving course. Must have access to a personal vehicle.
  • All client-facing positions must have the ability to perform Basic Life Support (BLS) and properly use AED equipment. BLS certification training will be provided within the first 60 days of hire. Certification must remain current.
  • Knowledge of Motivational Interviewing, Trauma-Informed Care, and Strength-Based Practices.
  • Ability to work independently and collaboratively within a team.
  • Strong interpersonal, organizational, and communication skills.
  • Proficiency in Microsoft Office Suite and electronic health record systems.
  • Understanding of community resources, benefits coordination, and housing supports.
  • Must remain awake and alert on all shifts.

Nice To Haves

  • Experience working with individuals with mental health conditions, substance use disorders, or histories of homelessness.
  • Experience with case management, program coordination, or administrative tasks in a social service setting.

Responsibilities

  • Act as a liaison between residents/clients, treatment teams, program staff, and community providers to ensure effective service coordination.
  • Facilitate skills training and therapeutic interventions as required by individualized treatment plans.
  • Maintain accurate and up-to-date documentation in the Electronic Health Record (EHR) and ensure compliance with local, state, and federal regulations.
  • Provide administrative support, including scheduling appointments, tracking prior authorizations, and submitting required reports.
  • Develop and maintain positive working relationships with community partners, funders, and referral providers.
  • Assist in crisis intervention and de-escalation while following emergency protocols and procedures.
  • Participate in program development and quality improvement initiatives to enhance services.
  • Assist with program supplies inventory, vendor coordination, and office administration.
  • Ensure safety compliance, including adherence to HIPAA, mandatory abuse reporting laws, and fire regulations.
  • Attend staff meetings, training, and supervision sessions to stay informed and contribute to program improvements.
  • Perform other duties as assigned.
  • Comply with laws, regulations, policies, and procedures under which the program and company operates.
  • Assist in crisis situations as appropriate; follow protocols and procedures in coordination with the treatment team.
  • Respect and honor client rights and responsibilities and demonstrate professional boundaries and ethics.
  • Maintain accurate and up-to-date documentation that ensures compliance with all agency policies and procedures and local, state, and federal regulations, and billing requirements.
  • Understand safety regulations and evacuation procedures; participate in regular safety drills in compliance with program policies and procedures.
  • Complete assigned employee training in compliance with program and company requirements.
  • Provide guidance, support, and training to other staff in alignment with company mission and values.
  • Participate in all scheduled staff meetings, supervision sessions, and other departmental and company meetings.
