About The Position

The Division of Student Affairs seeks an individual with a strong commitment to inclusive excellence and a strong interest in working at a mission driven, faith-based institution. The role of the Program Coordinator in supporting students and the USD Community responsibilities of the position are significantly tethered in the university's contemporary Roman Catholic mission and commitment to creating an equitable, welcoming community for all. Serve as the initial point of contact for leave of absence and withdrawal requests for undergraduate students. Manage the process and communication with students. Establish and provide ongoing, inclusive, and collaborative outreach to support students throughout various transitions while at the University. Supervise and lead student staff to create and foster a dynamic, inclusive, and engaging space in the Center for Student Success. Coordinate a mentorship collaborative of existing programs at USD to support the needs of the undergraduate students we will be serving by 2024 and specific student groups with lower retention and graduation rates. Serves as first point of contact with visitors calling or visiting the office when student support staff are not available. Periodically, this position may be asked to lead or contribute to either ad hoc or ongoing division/campus projects outside the scope of their day-to-day activities.

Requirements

Graduation from an accredited college or university with a Bachelor’s degree in related field (i.e., education, social work).
Two years of work experience required.

Nice To Haves

Prior work experience in a higher education setting working directly with college-level students in mentoring or advising strongly preferred.

Computer literacy and experience using Microsoft Office and Google Suite
Willing and able to work occasional evenings and weekends.

Responsibilities

Leave of Absence and Withdrawal Processes: Serves as the initial point of contact to counsel students considering taking time away from the University or transferring regarding their options including undergraduate leaves of absence (LOA) approx. 150 per year or withdrawal approx. 120 per year, and supports students in completing necessary forms and exit interviews, as needed.
Processes leave of absence and withdrawal forms. Responsible to maintain accurate and complete data.
Communicates students’ leave of absence or withdrawal status to campus partners including: One Stop, Financial Aid, Deans Offices, and Housing.
Follow-up with students who have inquired about a leave of absence or withdrawal to offer additional support, assistance, or consultation about their future plans.
Create and implement an outreach plan to students who are expected to return to USD after a leave of absence to support their transition back to USD.
Maintain the leave of absence and withdrawal manual.
Track leave of absence and withdrawal data.
Outreach for student transition support: In collaboration with campus partners, develop and present group workshops to promote student success.
In collaboration with campus partners, develops and implements individual and personalized student outreach to support their academic and personal transitions.
Meet individually to connect students with key services, resources, and communities of support (Fall and Spring semesters).
Reach out to students receiving two or more mid-term deficiencies, students who earn fewer than expected academic units, students with a W or have an incomplete, to meet individually with them following the intrusive advising model to offer space to reflect on their academic experience and participation in Student Success Coaching program.
Reach out to students that have not registered for courses at the end of each semester to collaboratively identify barriers and provide appropriate resources and support.
Student staff supervision, advising, and mentoring: Schedule and lead student staff meetings to provide ongoing, intentional, and equitable developmental support.
Schedule one-on-one check-ins with student staff when needed.
Conduct performance evaluations and provides ongoing performance feedback to student staff.
Coordinate selection process for open positions, including recruitment, hiring, and training for new student staff.
Create student staff schedules and ensures office has coverage during hours of operation.
Consult and support Student Success Coaching program managed by Graduate Assistant.
Strategic mentorship: Develops a proactive and sustainable outreach and collaborative coordination of existing mentor programs for students who identify with groups typically having lower one-year retention and six-year graduation rates than the overall average for their cohort.
Facilitates communication and coordination among campus partners to most effectively support students (i.e. Athletics, Black Student Resource Center, International Center, Undergraduate Admissions, Living Learning Communities etc.).
Administrative/Department support: Manages phone calls and emails from students and parents regarding general information.
Manages daily operations of office space to procure supplies, equipment, and technology needs.
Supports and assists with assessment efforts in all areas of responsibility including office space usage, program, and outreach.
Prepares own expense report for University One Card.
Maintains and updates CSS web pages regularly with up-to-date information.
In collaboration with the CSS Graduate Assistant, create and implement a comprehensive marketing calendar for Student Success Coaching program, CSS outreach, and programs.
Committee Responsibilities: Serve as a committee member for the Student Leadership Preparation & Development committee to serve as a liaison for the mentor and mentorlike initiatives.
Contributes to or leads additional division/campus projects outside of typical duties to help further accomplish student success or organizational goals.
Additional assignments may be seasonal, ad hoc or ongoing, depending on the project.
As certain aspects of your job may change, this position may be eligible for a differential pay rate based on added responsibilities and requirements.
These additional duties may include: Serves as a primary and dedicated point of contact and advocate for assigned student cohort to help ensure a comprehensive understanding of and timely access to resources and information.
Responds to basic questions related to campus resources, including financial aid, student accounts, registrar, housing, campus card, wellness, tutoring, student success center, academic support, student life, basic needs, university policies, etc.
Meets individually or in groups with students as a way of building relationships and signaling accessibility.
Seeks to understand and recognize the challenges faced by diverse student groups, particularly those students belonging to marginalized communities and serves all students with cultural sensitivity and compassion.
Fosters the retention and success of students through coaching and mentoring.
Collaborates and works closely with a wide array of campus partners to maintain an understanding of student needs, resources, and priorities throughout the academic year.
Coordinates with the TCC group on the execution of a communication strategy to keep students engaged and informed.
Serves as liaison to campus partners when necessary/appropriate and follows up to help ensure students’ questions are answered and issues are resolved
Assists with identifying barriers to student success and encourages students to develop their action plans and pathways to success.
Engages in training and attends meetings, as required.
Training to include workshops to elevate coaching skill sets.
The employee would be performing these duties on a daily basis when working with their assigned student cohort of new first year and transfer student athletes. This will include meetings in person, phone calls, and answering written inquiries.
In addition, the employee will be expected to attend regular meetings and trainings.
