Seeking a Program Coordinator to support the expanding Workplace Experience Operations function. As our workplace programs and capital projects grow in scale and complexity, this role will provide essential coordination, reporting, and tool management to maintain operational clarity and efficiency across global sites. The Program Coordinator will report into the Workplace Experience Operations team and collaborate closely with site teams, project managers, finance partners, and vendors to ensure seamless execution of workplace initiatives.

  • Program Coordination: Support a portfolio of global workplace capital projects and operational programs through scheduling, documentation, and task tracking.
  • Data & Tool Management: Build, maintain, and enhance Airtable bases, automations, and dashboards used as the system of record for workplace projects and budgets.
  • Reporting & Visibility: Manage and distribute project dashboards across five global regions, ensuring data consistency and leadership-ready reporting.
  • Budget & Vendor Support: Assist site teams with financial tracking, budget alignment, and vendor coordination in partnership with Finance, Procurement, and JLL counterparts.
  • Communication & Alignment: Serve as a central liaison between site teams, JLL, and vendor partners to ensure project updates and deliverables remain on track.
  • Process Improvement: Identify opportunities to automate workflows, streamline reporting, and enhance operational consistency across global programs.
  • 3+ years of experience in program, project, or operations coordination, ideally supporting corporate real estate, workplace, or facilities functions.
  • Strong proficiency in Airtable, including base management, automations, and interface design.
  • Excellent communication, documentation, and organizational skills.
  • Ability to manage multiple concurrent projects, priorities, and stakeholder relationships.
  • Proficiency with Excel or Google Sheets; strong attention to detail and comfort with data.
  • Experience supporting global workplace programs.
  • Familiarity with JLL processes for project and budget tracking.
  • Background in vendor coordination and procurement workflows.
  • Exposure to capital project reporting, portfolio dashboards, or operational analytics.
