About The Position

Join the Mosbacher Institute team at the Bush School of Government and Public Service, where you'll play a dynamic role in coordinating high-profile events, managing publications, and supporting strategic communications. This position blends logistical planning with creative collaboration—overseeing speaker travel, designing marketing materials, and maintaining social media outreach. You'll work closely with faculty to shape public engagement content, assist with purchasing and budgeting, and contribute to institutional reporting. Please note this position is funded from grant and/or contract funding, which is renewed through provisions of the grantor of the contract. Therefore, this position is contingent upon continuation of funding from these grants and/or contracts, as well as satisfactory job performance.

Requirements

  • Bachelor's degree or any equivalent combination of education and experience.
  • Two years of related administration and/or program support experience.
  • Excellent interpersonal, oral, and written communication skills.
  • Proficient ability to use word processing, spreadsheet, publishing, presentation, and database applications.
  • Ability to multi-task and work cooperatively with others.
  • Planning and organization skills.
  • Ability to self-motivate.

Nice To Haves

  • Proficient ability to use Microsoft or similar software, including Database Management and Publisher.
  • Familiarity with survey software, such as Qualtrics or similar software, and design software, such as Adobe InDesign or Canva.
  • Experience in event planning.
  • Higher Education experience.
  • Experience facilitating publications (format, proofread, editing).
  • Experience with branding compliance on social media platforms.
  • Experience working with stakeholders who are donors.

Responsibilities

  • Event Coordination: Plans and assists in the coordination of lectures, meetings, seminars, and other special events, including the following duties: develops and oversees project timelines, handles travel arrangements and develops itineraries for speakers. Works with Marketing and Communications team to design marketing materials and manage advertising and marketing. Processes bill payments. Coordinates program operations to include equipment, staff, and budget. Identifies and recommends program improvements.
  • Publication Coordination: Coordinates with faculty to identify and to suggest content for Mosbacher Institute public engagement efforts, which fit with Mosbacher Institute goals. Provides writing, editing, and data analysis skills in the preparation of Institute publications and policy briefs. Facilitates publication and production activities (format, edit, proofread, and posting).
  • Communications Coordination: In collaboration with Marketing and Communications, supports the Mosbacher Institute’s external communications and web presence, maintains the Institute’s social media accounts, coordinates program communications and marketing and emails periodic research bulletins to donors and stakeholders. Creates and maintains mailing lists from a variety of sources.
  • Purchasing: Conducts purchasing for Mosbacher Institute program needs. Prepares and submits purchasing required reports and justifications. Provides support for budget preparation.
  • Reporting: Assists the Assistant Director to prepare, submit, and report on Mosbacher Institute activities. Maintains program records and databases. Drafts the annual letter to stakeholders and to the Bush School Advisory Board. Assists the Assistant Director on various other institute reporting.
