About The Position

The Department of Endocrinology is dedicated to advancing education and training in endocrinology through comprehensive program management and strategic support. Our team plans, coordinates, and implements key initiatives, with a primary focus on the Oncologic Endocrinology Fellowship Education Program, Pediatric Endocrinology Fellowship Programs, Elective Rotations, and the Research Trainee Program. We work closely with Program Directors, Associate Program Directors, and faculty leadership—including the Chair and Section Chiefs—to ensure excellence in educational activities, trainee operations, and long-term program development. By driving efforts in recruitment, compliance, financial oversight, and marketing, we aim to strengthen the impact and visibility of our education programs while fostering innovation and growth for future generations of endocrinology specialists. The candidate should have strong organizational and communication skills to manage and coordinate multiple education programs and trainee activities. Responsibilities include: Overseeing operations for fellowship, pediatric endocrinology, elective rotations, and research trainee programs. Coordinating key meetings (CCC, PEC), evaluations, and curriculum reviews. Managing annual program evaluations and compliance documentation in New Innovations. Scheduling and supporting weekly core curriculum sessions and institutional conferences. Organizing fellow participation in research and clinical presentations, monthly evaluations, and annual events (orientation, graduation). Maintaining accurate trainee records and schedules. Collaborating with internal and external stakeholders to ensure smooth program operations. This position will work Monday-Friday 8am-5pm in a hybrid capacity. There will be 3 days working onsite and 2 day hybrid.

Requirements

  • Bachelor's Degree Business Administration or related field.
  • 3 years Project/program coordination experience.
  • May substitute required education degree with additional years of equivalent experience on a one to one basis.

Responsibilities

  • Overseeing operations for fellowship, pediatric endocrinology, elective rotations, and research trainee programs.
  • Coordinating key meetings (CCC, PEC), evaluations, and curriculum reviews.
  • Managing annual program evaluations and compliance documentation in New Innovations.
  • Scheduling and supporting weekly core curriculum sessions and institutional conferences.
  • Organizing fellow participation in research and clinical presentations, monthly evaluations, and annual events (orientation, graduation).
  • Maintaining accurate trainee records and schedules.
  • Collaborating with internal and external stakeholders to ensure smooth program operations.
  • Manage communications and coordinate activities that support the operations of education programs, including collaboration with representatives from external organizations and AVA—Trainee and Alumni Affairs.
  • Coordinate annual Clinical Competency Committee (CCC) review and bi-annual Program Evaluation Committee (PEC) meetings, including core Faculty meeting coordination, recording of meeting minutes, evaluation of Fellow work hours, compile Fellow case review, review of program curriculum description.
  • Prepare and coordinate Annual Program Evaluation (APE) review process, including data collection, application completion, and document upload into New Innovations for submission to the GME office.
  • Coordinate the weekly Oncologic Endocrinology Core Curriculum series, including scheduling speakers, attendee invitations, conference rooms and audio-visual equipment, catering, attendance documentation, and follow-up with speakers.
  • Coordinate and assist with Fellows’ participation and presentations at MDA conferences, e.g., Institution and DoIM Grand Rounds, department research meetings and seminars, multidisciplinary case conferences, etc.
  • Coordinate monthly Fellow and Faculty evaluations and annual events/ceremonies, i.e., Meet and Greet (orientation to faculty and research opportunities), graduation certificates and plaques, and graduations.
  • Coordinate and maintain the list of pasts, current, and future Fellows, contact information, and dates of MDA training for ongoing reference and use by department.
  • Coordinate the clinical trainee schedules.
  • Serve as administrative backup to Program Coordinator for the Core Rotating Fellowship Programs: a. Joint MDA:BCM Endocrinology b. UTHSC Endocrinology (rotating and LBJ Fellows) c. The Methodist Hospital Endocrinology d. Joint MDA:BCM Internal Medicine Residency (Endocrinology elective) e. Other Elective Programs
  • Assist with recruitment, appointment, orientation, and on-boarding of fellows and trainees with GME office, collections of documentation, and ensuring compliance with all institutional and departmental requirements.
  • Coordinate interview schedules, itineraries, and travel arrangements for fellows and trainees, managing candidate applications, Faculty evaluation of candidate, and post-interview follow-up.
  • Collaborate on fellow and trainee Orientation planning, initiatives, and scheduling to integrate department activities with AVA-TAA activities.
  • Manage documentation in New Innovations, appointment notification, schedules, IT access, and the assignment of workstation, iPhones, pagers, lab coats, and mailbox, as allowed. Provide fellows and trainees with administrative assistance, as needed.
  • Gather Fellow documentation, duty hours, case logs, Fellow presentations, and conferences.
  • Gather operational data for the education programs; assist with identification of opportunities to build upon existing and to initiate new educational initiatives.
  • Assist in coordination and implementation of new initiatives, including renewal of contracts with existing education programs.
  • Develop, implement, and communicate marketing activities to promote the Education Programs
  • Develop and distribute routine and ad hoc activity and operational reports.
  • Coordinate the development of documents and meeting materials for routine and special or ad hoc education programs reports.
  • Provide administrative and financial support to assigned faculty and staff. This may include travel arrangements, travel reimbursement, tracking and monthly reporting of faculty PRS spending, calendar management, correspondence composition, CV and FIS maintenance, journal article and manuscript preparation and proofing.
  • Develop and determine priorities and monitor status of special projects.
  • Use independent judgment and complex analysis to gather facts and determine appropriate solutions generally based on experience and department practice.
  • Verify compliance with Institutional requirements, guidelines, and policies.
