Job Summary This position will work with the team at IIE that administers the EducationUSA Global Advising Services through a cooperative agreement with the U.S. Department of State Bureau of Educational and Cultural Affairs (ECA). The Program Coordinator, provides overall support to EducationUSA Global Advising Services by assisting with financial, logistical, and administrative tasks, and special projects as necessary in adherence with all client/sponsor, local government and IIE guidelines. The Program Coordinator monitors project budgets , makes travel and other logistical and administrative arrangements, processes payments, reconciles budgets and communicates extensively with various internal and external stakeholders. Using sponsor databases and IIE financial systems, the Program Coordinator provides financial, logistical and evaluation support for a variety of EducationUSA’s domestic and international representational events and online trainings, including the Adviser Global Onboarding program. This position prepares monthly program deliverables, and supports other administrative activities as needed, such as the EducationUSA Fair Portal, podcast, and special projects.

Requirements

  • Requires a Associate's degree and at least two (2) years of related work experience, or an equivalent combination of education and experience.
  • Excellent organization skills with high attention to detail.
  • Ability to work on and prioritize multiple tasks is essential for success.
  • Ability to work well under pressure and meet deadlines.
  • Excellent written and verbal communication skills are imperative to engage with various internal and external, governmental and non-governmental audiences.
  • Intermediate knowledge of Microsoft Office Suite.
  • Basic understanding and interest in finance and accounting principles and logistical coordination.
  • Ability to interact with all levels of staff and external contacts; sensitive to cultural differences when working with people from other cultures.
  • Ability to think critically and be a self-starter.
  • Flexibility and positive attitude towards learning new things.

Nice To Haves

  • Knowledge of Google Sites, Google Forms, CANVAS and Qualtrics (or similar platforms) preferred.

Responsibilities

  • Provides logistical and administrative support to ensure program development and delivery needs are met.
  • Coordinates meeting logistics and supports facilitation efforts.
  • Serves as the general point of contact for the department. Corresponds with a diverse group of external sponsors and stakeholders. Monitors program email accounts, as well as incoming calls and correspondence.
  • Administers payment requests and invoices. Duties may include processing expense reports and journals, scheduling payments, assisting with the creation of participant budgets, initiating payments to vendors and processing payments made to the office/department.
  • Responsible for notetaking and record keeping for high level meetings with clients and leadership.
  • Prepares financial and program documents using IIE and sponsor databases. Maintains participant and financial data in databases and spreadsheets.
  • Coordinates with internal teams to arrange participants’ travel, per diem, travel insurance and event registration. Troubleshoots participant and project issues related to logistics and prepaid cards
  • Coordinates with internal teams for hotels, restaurants, ground transportation and other vendors as necessary for rates, reservations, event management and accurate and timely invoices.
  • May make formal presentations to participants on financial, logistical and administrative aspects of the project; distributes prepaid cards, medical coverage and ensures compliance with program requirements.
  • Communicates information, program policies and procedures via e-mail, telephone, video, audio, webinars and in person to internal and external stakeholders.
  • Works closely with other portfolios to support and manage various processes as needed.
  • Performs other related duties and functions as assigned.
