About The Position

Madison College is seeking a highly organized and collaborative Program Associate to provide advanced administrative and program coordination support for the School of Nursing. This position plays a critical role in supporting the Nursing Assistant program with over 1,000 students that rely on complex clinical placements, affiliation agreements, compliance requirements, and external partnerships to deliver high-quality clinical education. This position will communicate with students that are out of compliance and escalate those issues to School of Nursing leadership as needed. This role also provides essential operational support to the School, including assisting with the Early College programming in the School of Nursing, answering general student questions related to the nursing assistant program, and providing backup support for the School of Nursing e-mail and phone coverage.

Requirements

  • Experience providing administrative, program coordination, or operational support in a complex organizational environment.
  • Demonstrated ability to manage multiple processes, maintain accuracy, meet deadlines, and work independently.
  • Strong communication skills and the ability to collaborate effectively with internal and external stakeholders, contributing to a safe and inclusive learning and work environment.
  • Proficiency with Microsoft Office products and experience with, or ability to quickly learn systems such as SharePoint, PeopleSoft, Workday, and Brightspace.
  • Ability to apply standardized procedures, policies, and guidelines across administrative and academic functions.
  • Ability to exercise independent judgment and effectively resolve problems.
  • Associates degree or higher or equivalent combination of additional relevant experience.
  • 2-4+ years of years relevant and progressive work experience.
  • Candidates must be legally authorized to work in the United States at the time of hire and maintain work authorization throughout the employment term.

Responsibilities

  • Coordinate program clinical processes by managing timelines, tracking requirements, maintaining accurate records, and ensuring compliance with institutional, accreditation, and clinical partner expectations.
  • Serve as a primary administrative contact for Nursing Assistant program by supporting communication with clinical affiliates, faculty, staff, students, and external partners.
  • Maintain and monitor clinical affiliation agreements, compliance documentation, student clinical requirements and related documentation to support reporting, planning, and audits.
  • Provide specialized scheduling, onboarding, compliance monitoring, and logistical support for clinical education.
  • Provide support to the early college programming within the school of nursing by meeting with Early College advising staff on a regular basis.
  • Visit high schools as needed in collaboration with early college staff to ensure that students have all of the information they need to sign up for the Nursing Assistant program.
  • Develop, maintain, and update procedural documentation, templates, training materials, and reference resources to standardize processes for programs.
  • Support coordination of meetings, orientations, trainings, and events related to clinical education and partnerships.
  • Provide backup coverage for School of Nursing emails, phones, and front-office operations as needed.
