About The Position

Provides confidential clerical, administrative, and communication support to the Head Start Service Team to ensure compliance with each service area of the Head Start program.

Requirements

  • Must be at least eighteen years of age AND
  • High School diploma or GED equivalent OR
  • Knowledge and appropriate use of modern office practices and procedures including computer word processing and data entry skills.
  • Knowledge and appropriate use of business English, spelling, and basic math computations.
  • Knowledge and appropriate use of telephone etiquette, clear and concise language and writing skills.
  • Knowledge and capable of dealing with persons of diverse socio-economic, educational, and cultural backgrounds.
  • Required: DCFS background/criminal check, physical, Mandated Reporter, Valid driver’s license, vehicle and automobile insurance, and DCFS licensing required courses
  • Strength: Lift/carry up to 25 pounds on occasion and 10 pounds frequently.
  • Movement: Routine: Sit, walk, or stand for prolonged periods of time; Use near visual acuity to review both written documents and text on a computer monitor; Hear and understand speech at normal room levels and on the telephone; Operate a telephone, keyboard and mouse for prolonged periods of time
  • Occasion: Lift horizontally and vertically, bend & stoop, push/pull, twist; Drive an automobile.

Nice To Haves

  • A.A.S. in Business Administration or approved related degree preferred AND
  • Experience as an administrative assistant and/or working in an office setting preferred
  • Recommended: Hepatitis B Vaccine and CPR/First Aide

Responsibilities

  • Completes data entry into Child Plus Net data system for service areas as assigned.
  • Files documentation in children’s files at the Administrative Office in accordance with guidelines and requirements.
  • Takes and distributes meeting minutes as needed.
  • Receives and distributes incoming phone calls and takes messages and forwards to the appropriate personnel.
  • Greets visitors and monitors who have entered or exited the building through the entrance.
  • Prepares a monthly Head Start newsletter to be distributed to all Head Start sites and options.
  • Maintains child, family, and employee confidentiality and follows procedures for reporting suspected child abuse and neglect.
  • Completes assigned projects within reasonable time frame as determined by his/her Supervisor.
  • Reports needed office equipment repair to the proper personnel.
  • Maintains cabinet or closet for office materials and restocks as needed.
  • Responsible for developing a partnership with parents and caregivers in the Head Start program and encourages each parent/caregiver to take in active role in their child’s Head Start experience.
  • Participates in staff meetings, center activities, and staff development.
  • Participates in the federal and annual program review.
  • Responsible for recruitment of Head Start eligible children, in coordination with other Head Start staff, for enrollment into the Head Start program.
  • Responsible for carrying out best practices for safety procedures concerning children, staff, families, and community individuals and for assessing current practices and finding ways and areas needing improvement.
  • Responsible for participating in activities and attitudes that promote positive public relations and positive image for the program and agency.
  • Complies and is familiar with the requirements of the policies and procedures adopted by Southern Seven Health Department as required by the Health Insurance Portability and Accountability Act (HIPAA).
  • Reports potential problems and concerns to his/her Supervisor.
  • Participates in continuing education and staff development through coaching, seminars, conferences, or work shops at personal or departmental expenses.
  • All related duties and responsibilities necessary to meet requirements of the Head Start program.
