About The Position

The CCRC Parent Services and Program Manager is responsible for managing CCRC's Parent Services, providing support to the Legally Exempt Child Care Program and the Child and Adult Care Food Program (CACFP), the other CCRC programs, and assisting the Director with the program operations. For Parent Services, the Manager will be responsible for providing, recording, promoting, and reporting on child care referrals in the service area. The activities include, but are not limited to, extensive customer service, data entry, providing information about quality indicators for child care, and offering solutions for child care needs. The Manager will provide support to the Legally Exempt Child Care Program by entering initial applications, assisting with inspections, and occasional filing. For the CACFP Program the Manager will assist with entering program data, assist with in-home monitoring visits, and other filing/paperwork. Supports to the CCRC Director and other programs includes a variety of tasks including managing the daily mail, registration for trainings, managing incoming phone calls and emails. The Manager will provide support to parents, child care providers, and community partners, and contribute to the CCRC vision of ensuring that the community has access to and support for high-quality child care.

Requirements

  • Associate Degree in early childhood education, human services or business preferred.
  • Valid Driver's License required.
  • 1-3 years in an office setting or regulated daycare facility. An equivalent combination of training and experience will be considered.
  • Excellent customer service skills required; high comfort level in speaking with individuals or small groups either in person or on the telephone; above average computer skills; maintain accurate and complete records; excellent organizational and time management skills.
  • Able to be non-judgmental in working with diverse staff; work as part of a team; able to plan and complete tasks independently; project a professional demeanor.

Responsibilities

  • Support CCRC programs with clear and respectful communication that contributes to a positive work environment.
  • Become knowledgeable on and be able to speak about CCRC programs: Parent Referrals, Child and Adult Care Food Program, Provider Services, and Business Services, and Program Registration.
  • Apply strong customer service skills to provide child care referrals to families by phone, in-person, and on-site as needed.
  • Maintain and manage database (ESCCM) to ensure all data points are recorded.
  • Assist child care providers with updates to their ESCCM profile, at least annually.
  • Ensure that providers understand CCRC's role in enrollment.
  • Follow-up with customers to determine if child care was found and support additional needs.
  • Using strong verbal communication skills, research, schedule, and attend appropriate outreach events to inform parents and families about CCRC's programs and services.
  • With strong written skills, develop a monthly newsletter directed toward parents with topics relating to early childhood and young children.
  • Using a high degree of organization and attention to detail, enter Legally Exempt Enrollment Applications into CCFS2 system.
  • Must have be comfortable in conducting Legally Exempt child care inspections in the homes of Legally Exempt Child Care Providers.
  • Using technology skills, assist in entering information and data into the KidKare/Minute Menu database systems for the CACFP.
  • Must be comfortable conducting CACFP Monitoring visits in Regulated and Licensed Child Care Programs.
  • Using a high level of organization skills, assist with office management such as filing paperwork, organizing supplies, and other office tasks.
  • Assist CCRC staff in maintaining accurate documentation of contract deliverables, program data and other clerical support.
  • Assist CACFP Coordinator in preparing for annual CACFP trainings, duties may include copying, preparing materials, attending trainings to provide administrative support.
  • Must have a high comfort level with technology and the ability to input data from multiple programs into various spreadsheets and databases.
  • Complete support activities that ensure compliance with CCRC, CAPC, and other contractual policies and procedures.
  • Provide oversight for agency vehicles to ensure proper and timely maintenance occurs; along with ensuring that all inspections, registrations, and insurance cards are current.
  • Attend and actively participate in CCRC staff meetings, CAPC All Staff meetings, and other meetings as assigned.
