About The Position

Reporting to the Dean of EPaCE, the Program Administrative Analyst is responsible for overseeing established self-support programs and assisting in the administration of new or revised programs. This position works independently to meet complex goals and responsibilities. The incumbent performs analytical, administrative, and technical duties related to the overall operation of self-support programming, including fiscal and budgetary analysis, monthly ProCard reconciliation and oversight of the department’s resources, including fiscal projections and reconciliation; database management; lead work direction of student assistant positions; and the planning and execution of program events. Department Summary Extended, Professional, and Continuing Education (EPaCE) develops and delivers innovative and financially self-supporting academic and educational programs to extend Cal Poly’s reach to market opportunities beyond its traditional University programs.

Requirements

  • Ability to independently plan, organize, coordinate, and perform work across multiple priorities in a higher education setting, including managing competing deadlines in a dynamic office environment with frequent interruptions.
  • Demonstrated ability to independently draft, compose, and present correspondence, reports, and promotional materials consistent with higher education communication standards, with thorough knowledge of English grammar, punctuation, and spelling and strong attention to detail.
  • Excellent verbal and written communication skills with the ability to effectively interpret, organize, and present information to diverse higher education audiences — including faculty, staff, students, and external partners — and apply and communicate a wide variety of policies and procedures where specific guidelines may not exist.
  • Ability to use tact and diplomacy to handle sensitive interpersonal situations within a diverse university community, foster teamwork, and maintain effective working relationships within and outside the institution across varied cultural backgrounds.
  • Ability to locate and work with instructors in a continuing education or extended learning environment, advise them on program processes and budgets, and assist with contract arrangements in accordance with university and EPaCE requirements.
  • Equivalent to graduation from a four-year college or university.
  • Three years of technical or administrative experience.
  • Possession of a valid driver’s license or the ability to obtain by date of hire.

  • A graduate degree in a related field may be substituted for one year of the required experience.
  • Additional qualifying experience may be substituted for the required education on a year-for-year basis.
