About The Position

The Professional Relations Coordinator is a multi-functional team member responsible for enhancing the patient experience, overseeing front desk operations, and driving internal and external marketing initiatives to promote the practice's brand and growth. This position requires a warm, professional presence at the front desk, creative outreach skills, strong relationship-building abilities, and exceptional organizational expertise to manage scheduling, events, and communication with both internal teams and external partners.

Requirements

  • High school diploma or equivalent
  • Proven experience in administrative tasks
  • Marketing/Professional Relations experience is needed
  • Time Management – Excels at directing one's own time and the time of others
  • Active Listening - Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times
  • Leadership and Guidance – Ability to lead effectively and take guidance/correction
  • Responds creatively and constructively with solutions to problems
  • Flexible and willing to perform the duties of others in their absence
  • Well organized, willing to learn, and willing to travel

Nice To Haves

  • Previous dental office experience preferred but not required

Responsibilities

  • Focuses on engaging employees and aligning them with the company's mission, values, and goals.
  • Communicates company initiatives, updates, and objectives, conducts internal campaigns to boost employee morale and advocacy, and facilitates training and development for brand alignment.
  • Oversee marketing department operations and growth strategies.
  • Become 'the face' of the practice by establishing strong relationships with referring offices.
  • Put together and deliver care packages to referring offices to maintain engagement.
  • Manage communication between the company, patients, and referral sources.
  • Handle complaints and resolve conflicts with patients and referral partners.
  • Plan and implement marketing growth strategies with partners and outside sales representatives.
  • Manage social media, website content, search engine placement, and online reviews.
  • Organize and lead events, including educational meetings and training sessions.
  • Build and maintain strong relationships with referring doctors and offices through one-on-one marketing meetings and consistent communication.
  • Train staff on marketing strategies to maintain and enhance referral relationships.
  • Analyze practice management reports to identify growth trends and ensure sustainable revenue generation.
  • Develop specialized marketing plans for new doctors to expand referral networks.
  • Plan and execute morale and team-building activities for staff including group social events and activities
  • Greet and check in patients in a professional and welcoming manner, ensuring efficient check-in
  • Schedule, confirm, and manage patient appointments
  • Answer phone calls and respond to emails courteously and promptly
  • Examine documents for missing information and update patient chart as necessary
  • Accurately enter and update insurance information in patient records
  • Educate patients about their insurance benefits and financial responsibilities.
  • Assist with preparing and printing claims
  • Process pre-authorizations and update treatment plans
  • Handle billing, co-pays, and other payments accurately
  • Maintain and update patient records in compliance with HIPAA regulations
  • Ensure the reception area is clean, well-organized, and presentable on a daily basis
  • Monthly maintenance of coffee machine
  • Check emails, faxes, and voicemails daily
  • Assist with patient inquiries and provide information about dental services
  • Assist in daily office coordination and communication between dental staff and patients
