Job Description: The DIIVO Team is seeking an experienced and motivated individual to join our Imaging team as a Production Specialist III.This job is responsible for handling more complex files and/or documents and effectively preventing or handling escalations. Key responsibilities include performing various production and support functions, accurately entering data and assembling documents ,assisting with training new associates, acting as a subject matter expert, and proactively identifying issues and potential process improvements. Job expectations include monitoring and reviewing documentation against requirements and leveraging reporting to perform job functions with strong understanding of metrics across multiple workstreams and systems. This position requires an individual who is production and quality focused and who can work in a high volume, fast-paced production environment. Position requires repetitive administrative functions related to the imaging/scanning process to meet deadlines and goals. The individual must be reliable, motivated, able to train across multiple workstreams, and a team player with exceptional work habits.

  • 2 years in operations or production environment
  • Ability to bend and move about the production floor to push carts, move documents or boxes, and lift 25-50 pounds

Nice To Haves

  • Experience with PDIM (Physical Document Inventory Management) application
  • Ability to leverage data and reporting to manage inventory and service level agreements
  • Experience with microfiche/microfilm media or hardware
  • Experience with CMOD (Content Manager OnDemand), CDOL (Client Document Online), or TrustWeb applications
  • Previous experience in document imaging or retention and retrieval

Responsibilities

  • Addresses issues in production proactively and handles complex client escalations
  • Prioritizes and organizes work to increase effectiveness, efficiency, and productivity
  • Performs complex research to remediate issues
  • Executes on policies and procedures in connection with firm policies and guidelines regarding document management
  • Thinks critically and suggests process improvement recommendations
  • Acts as a subject matter expert or first point of contact for other employees
  • May perform system testing
  • Assist peers and leadership with resolving complex, time-sensitive exceptions.
  • Handle escalations received from business partners by providing clean, concise communication through email and phone.
  • Contribute to improving process efficiencies by supporting the review and validation of departmental procedures.
  • Execute various production and support functions.
