About The Position

The Vail Valley Foundation (VVF) seeks a full-time Production Manager for the Vilar Performing Arts Center in Beaver Creek, Colorado, and the Gerald R. Ford Amphitheater (GFRA) in Vail, Colorado. The mission of the Production is to maintain efficient and effective concert production operations, providing excellent experiences for all visiting performers, guests and partners. This role works across Vilar, GRFA and VVF teams to execute flawless event production. This position is a level 3, Manager-level position, and reports to the Sr. Production Manager, Vilar Performing Arts Center & GRFA.

Requirements

  • A minimum of 3-5 years working in theater/concert production, event planning, venue operations, project management, and/or hospitality.
  • Experience with the performing arts and/or performing arts venues highly desirable.
  • Strong leadership, initiative, and interpersonal skills; a proven track record for building, motivating and leading teams; a great team player that is proficient at supervising or executing as the situation requires.
  • Ability to stay calm and focused in a fast-paced, constantly changing environment, and in security or emergency-related situations.
  • Excellent management and organizational skills, ability to work on multiple projects and deadlines simultaneously with flexibility, the capacity to generate innovative solutions and strategies.
  • Proficiency in Microsoft Office (Word, Excel, Powerpoint, and Outlook), scheduling/event management software (Lasso, Prism) and HR/Accounts. Payable systems (PayCom, PaperSave).
  • Basic accounting skills and prior experience managing a budget.
  • Aptitude and appetite for technology systems, learning and implementing new software/hardware as needed.
  • Eagerness to provide support to the greater Vail Valley Foundation staff as available and necessary.
  • Flexible schedule is required, with willingness to work irregular and long hours during events and ability to commit to working peak seasonal timeframes, nights, weekends, and holidays.
  • Must be physically able to lift and carry up to 50 lbs.
  • Must have a valid driver's license and be able to successfully pass a Motor Vehicle background check.

Responsibilities

  • Oversee daily theater production operations.
  • Support front of house event operations.
  • Serve as manager on duty for Vilar events as scheduled.
  • Act as crew chief for all load-ins/outs and supervise on-stage work.
  • Advance all incoming events for labor and technical needs.
  • Advance parking needs and coordinate with venue partners.
  • Schedule crew/labor for all Vilar events and activations.
  • Coordinate show needs with other Vilar departments including Hospitality, Artist Services, Facility Management and House Management.
  • Schedule independent contractors such as backline rental, piano tuning and service for specialized production equipment.
  • Supervise safe fly system operation.
  • Lead production and back of house staff/crew in training and execution related to the Emergency Operations Plan.
  • Advance production needs with artist/tour.
  • Schedule crew and act as crew chief for all load-ins/outs and supervise on-stage work.
  • Provide venue & operations support as needed.
  • Provide additional load-in, venue support days and supplemental production management as needed (i.e. Bravo! Vail, Vail Dance Festival, AEG in Ford Park, etc.)
  • Manage production department accounts payable, accounts receivable, invoicing, COI requests and general production department administration.
  • Manage vendor relationships and agreements.
  • Manage payroll needs, including settlement reports.
  • Manage production budget lines and expense reconciliation accurately and in a timely manner.
  • Hire and train new production staff.
  • Address Human Resources related matters.
  • Manage payroll for part-time production staff.
  • Ensure crew safety.
  • Ensure that all hired crew and technicians are properly trained and up to date on any required certifications to operate theatrical equipment. For example, fly system & rigging, forklift, etc.
  • Consult and provide project management for select capital improvements.
  • Other duties, as assigned.
