About The Position

The Labs Production Coordinator reports to the Central Production Manager and will oversee and support various tasks and projects, with a primary focus on research development taking place on the stage, to ensure efficient operations and successful project completion across multiple teams. This role requires excellent organizational skills, attention to detail, and the ability to work collaboratively with team members and external partners.

Requirements

Excellent organizational and time management abilities, able to identify and manage priorities
Excellent written and verbal communication skills. Ability to collaborate effectively with cross- functional teams
Proficiency in Google Workspace and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Ability to work independently and as part of a team
Attention to detail and problem-solving skills
Effectively coordinates the resolution of problems and roadblocks as they occur
Proficiency in production management software such as Flow (formerly Shotgrid/Shotgun) or equivalent tracking tools
Ability to remain calm and confident under pressure, cope well with fast paced environments and short deadlines, be adaptable,use initiative, have a positive attitude

Nice To Haves

Familiarity with project management software (e.g. Jira, Smartsheets, Airtable, Miro, Bluescape. ClickUp) is a plus

Responsibilities

Project Management: Plan, coordinate, and execute projects, ensuring they are completed on time, within scope, and budget
Communication: Serve as a point of contact between different departments, clients, and stakeholders to facilitate smooth information flow
Scheduling: Arrange and manage schedules, meetings, and appointments for team members and ensure timely communication of changes
Research & Innovation: Demonstrates genuine curiosity and enthusiasm for learning about emerging technologies, R&D initiatives, and innovative workflows within stage operations
Documentation: Maintain accurate records, files, and documentation for projects and departmental activities
Reporting: Capable of independently preparing and presenting regular reports on project status, department activities, and other relevant metrics contributing to overall team efficiency
Problem-Solving: Identify and resolve any issues or conflicts that arise during project execution
Production Knowledge: Possess a basic understanding of production tools, departments, and processes
Software Development Knowledge: Possess a basic understanding of Agile workflows, sprints, and processes
Communication & Accountability: Demonstrate strong written and verbal communication skills with the ability to drive actions, follow up on tasks, hold team members accountable, and ensure timely delivery and resolution
Support: Provide administrative support to the team, including preparing correspondence, handling tickets, and managing office supplies
Review Facilitation: Demonstrates the ability to effectively run creative or technical reviews, ensuring all stakeholders are aligned and next steps are clearly communicated and followed through
Process Improvement: Actively suggests workflow optimizations and supports the implementation of organizational tools and processes that enhance team productivity and collaboration
