About The Position

The Production Assistant supports daily operational activities by managing incoming communications, coordinating job assignments, and assisting with estimating workflows. This role serves as a key point of contact between customers, field technicians, and internal departments to ensure efficient scheduling, accurate job creation, and timely response to inquiries.

Requirements

  • Hands-on experience with ServiceTitan (required).
  • Experience in the Commercial Mechanical industry (HVAC, plumbing, or mechanical contracting environment).
  • Strong phone, email, and internal communication skills.
  • Ability to manage multiple tasks and prioritize in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Experience coordinating work orders, dispatching, or job scheduling.

Nice To Haves

  • 2+ years of experience in production coordination, dispatching, or operations support.
  • Experience working with field technicians and estimating teams.
  • Familiarity with commercial service operations and job lifecycle management.

Responsibilities

  • Answer and manage incoming phone calls and emails from customers, vendors, and internal staff.
  • Respond to and coordinate internal inquiries from field technicians regarding job details, scheduling, and support needs.
  • Create and enter new job requests in ServiceTitan.
  • Schedule and assign new jobs to the appropriate field technicians based on scope, location, and availability.
  • Create estimate opportunities in ServiceTitan for new service or project requests.
  • Assign estimate opportunities to the appropriate estimating department or estimator.
  • Maintain accurate job records and ensure all relevant information is properly documented.
  • Communicate job updates, scheduling changes, and job status to internal teams and field staff.
  • Track open jobs, pending estimates, and required follow-ups.
  • Support production and operations teams with administrative coordination and workflow management.
  • Ensure timely responses to all communications to maintain a high level of customer service.
