The Role Reporting to the Production and Marketing Manager, the Production and Design Specialist supports the production of the Institute's research publications and communications materials, ensuring they are delivered on time, on brand, and to a high standard of quality. A member of the External Affairs team, this role works closely with communications and marketing colleagues and with the Institute’s research teams to coordinate production workflows, produce and distribute newsletters, and maintain the Institute's web presence. The successful candidate will be highly organized, detail-oriented, and a strong team player with experience leading project management for publications and other communications products. They will be comfortable managing multiple concurrent projects, ensuring that teams meet deadlines and production milestones. They will take pride in producing polished, well-designed materials that reflect the Institute's brand and communicate complex ideas clearly and accessibly.

Requirements

  • A minimum of three years of experience in communications, publishing, marketing project management, content production, or a related field.
  • Experience coordinating complex production or editorial workflows, with strong project management and organizational skills.
  • Proficiency with email marketing platforms such as Hubspot, including list management, layout, and performance tracking.
  • Experience with design layout for communications products and publications, including familiarity with InDesign, Adobe Creative Suite, Canva, PowerPoint, etc.
  • Experience publishing and managing content on website platforms (e.g. WordPress).
  • A strong eye for design, detail, and brand consistency; experience working with brand guidelines and templates.
  • Comfortable working with external vendors (designers, proofreaders, translators) and managing relationships to meet deadlines.
  • A quick learner comfortable adopting new tools and working with platforms such as GSuite, Slack, Asana.
  • Applicants must have legal authorization to work in Canada to be considered.

Nice To Haves

  • Familiar with best practices and new developments in digital engagement, social media, data visualization, SEO and GEO.
  • Aware of current issues and regional nuances related to climate policy in Canada.
  • Demonstrated skills and experience in working with Indigenous rights holders, content creators and partner organizations.
  • Preference will be given to candidates with a strong working knowledge of French (intermediate level to bilingual).

Responsibilities

  • Support the end-to-end production and project management of reports, scoping papers, briefing notes, fact sheets, and other publications, including coordinating with research teams, overseeing work-back schedules and production of deliverables, and managing review and revision cycles.
  • Coordinate with external vendors—including graphic designers, proofreaders, and translation services—to support the timely and high-quality delivery of Institute publications.
  • Conduct quality control reviews of materials prior to senior sign-off to ensure accuracy, consistency, and alignment with brand standards.
  • Provide simple document design and layout for various publications and communications assets (e.g. scoping papers, minor reports, case studies, social media assets) using software such as Adobe InDesign, Canva, etc.
  • Assist with maintaining and updating on-brand templates for Institute materials such as presentation decks, briefing notes, scoping papers, and fact sheets.
  • With direction and oversight from the Production and Marketing Manager, lead the layout and formatting of the Institute's newsletters, in keeping with brand standards and email marketing best practices.
  • Support the maintenance of accurate newsletter subscriber lists in compliance with Canadian law.
  • Track and report on newsletter performance metrics to support ongoing improvements to subscriber engagement.
  • Post and maintain content across the Institute's websites and other digital channels, ensuring materials are published accurately, on schedule, and in keeping with organizational standards.
  • Conduct routine website maintenance and flag issues to relevant colleagues as needed.
  • Track and report on website performance metrics to support ongoing improvements.
  • Support the Digital Marketing Manager and Production and Marketing Manager with digital asset creation and management as required.
  • Assist with the production of communications and marketing assets for events and conferences, including promotional assets and post-event publications.
  • Contribute to the collection and synthesis of monthly communications metrics across the Institute's channels.
  • Provide coverage for creating and posting content for Institute social media channels as needed.
  • Provide general production and administrative support to the External Affairs team as needed.
