About The Position

Reporting to the General Manager, the Production Administrator will provide daily administrative support, maintaining accurate documentation, records and data entry related to the production department’s operations. This role ensures that all production-related documentation is accurate and filed appropriately. In addition to supporting production leadership with project billings, A/R and change order management, this role also supports the service department with generating service tickets. The ideal candidate will have prior construction administration experience, strong organizational and analytical skills and a high level of attention to detail. This position will be based at our Cranston, RI office, with a normal working schedule of 7:00 AM-3:30 PM, depending on business needs.

Requirements

  • Bachelor’s degree in Business, Communications or related studies, preferred or equivalent related work experience
  • 3+ years’ experience in construction or production-based environment
  • Strong time management skills and ability to operate with a sense of urgency
  • Excellent organizational skills and attention to detail
  • Strong knowledge of Microsoft Office and ability to learn new software
  • Team player with strong interpersonal skills
  • Self-starter with excellent verbal and written communication skills
  • Ability to perform in a fast-paced environment and juggle multiple projects
  • Ability to solve problems and manage difficult situations
  • Dedicated, hardworking and reliable

Responsibilities

  • Plan, organize and establish objectives and goals for tasks and projects assigned
  • Create production and service billings; assist with collections
  • Create and process service work order tickets
  • Assist General Manager with production project set ups
  • Collaborate closely with General Manager on production change order management
  • Collect, process and organize project documents (contracts, change orders, warranties, permits, inspections)
  • Handle confidential, non-routine information, maintaining confidentiality with a high level of integrity
  • Act as backup for production payroll input
  • Perform other duties as required
