About The Position

We are a full-service promotional products and branded merchandise company that supports enterprise clients through custom programs, decorated apparel, and large-scale fulfillment. We manage everything from product sourcing and production to logistics and delivery—ensuring a seamless experience from start to finish. We are seeking a detail-driven Procurement Specialist to support a growing portfolio of enterprise and program-based clients. This role is responsible for managing orders from approval through production and delivery—ensuring accuracy, speed, and seamless coordination between sales, vendors, production partners, and logistics. This is a critical execution role for someone who thrives on precision, accountability, and making complex orders move smoothly behind the scenes.

Requirements

  • 2+ years of experience in order processing, operations, or fulfillment (promotional products, print, apparel, or manufacturing preferred).
  • Strong attention to detail and ability to manage multiple orders simultaneously.
  • Comfortable working in fast-paced, deadline-driven environments.
  • Strong written and verbal communication skills.
  • Proficiency with order management systems or ERPs (NetSuite, Printavo, or similar).
  • Solid understanding of production workflows, timelines, and vendor coordination..

Responsibilities

  • Accurately process customer orders in order management and ERP systems (NetSuite, Printavo, and related tools).
  • Review orders for completeness, pricing accuracy, timelines, artwork approvals, and production requirements.
  • Confirm product specs, decoration methods, quantities, and delivery details before release.
  • Create and manage purchase orders for domestic and overseas vendors.
  • Communicate with suppliers, decorators, and internal production teams to ensure timelines are met.
  • Track production status, flag delays early, and proactively resolve issues.
  • Ensure artwork files, proofs, and approvals are properly documented and released to production.
  • Coordinate shipping methods, delivery schedules, and special fulfillment requirements (kitting, drop-shipping, store-level delivery, etc.).
  • Monitor shipments, confirm delivery, and resolve freight or delivery issues as needed.
  • Support large program rollouts and repeat orders with consistent execution standards.
  • Partner closely with Sales, Customer Experience, Accounting, and Production teams.
  • Provide order status updates and documentation to internal stakeholders.
  • Support invoicing accuracy by ensuring orders align with customer POs and internal pricing structures.
  • Maintain clean, organized order records and documentation.
  • Follow internal SOPs and contribute to continuous process improvement.
  • Identify inefficiencies and recommend workflow improvements as order volume scales
