About The Position

Under the general supervision of the Director, Procurement, the Procurement Specialist will support all procurement-related functions Campuses and Campus Support Services. Assist in analyzing purchase history and company spend to consolidate vendors and improve operational efficiencies. Develop vendor relationships to ensure quality products, timely delivery and competitive pricing. Strong analytical and excellent communication skills.

Requirements

  • Knowledgeable in procurement and supply chain management processes.
  • ERP software experience, e.g., Basware, Great Plains, Oracle preferred; report generation.
  • Microsoft Office suite experience including Intermediate MS Excel skills or higher.
  • Strong verbal, written and interpersonal communication skills.
  • Ability to work effectively in a highly diverse organization.
  • Familiarity with the Uniform Commercial Code.

Nice To Haves

  • Associate or Bachelor’s degree in a related field preferred or 3-5 years of equivalent work experience.

Responsibilities

  • Serve as the single point of contact for all Purchase Order (PO) related activities companywide.
  • Partner with finance, operations, and other departments to align purchases with budget(s).
  • Ability to review and negotiate POs with vendors to ensure fair and competitive pricing.
  • Prepare PO reports to help identify trends, consolidate vendors, and reduce costs.
  • Gather market trend data to help identify cost savings opportunities.
  • Accurately and timely place POs daily; ability to troubleshoot PO related challenges.
  • Track vendor PO SLA’s/KPI’s to ensure delivery of product(s) and service(s) on time.
  • Review POs and purchase history to help monitor annual spend.
  • Establish solid relationships with vendors and internal partners.
  • Monitor vendor inventory to ensure smooth supply chain operations.
  • Support strategic RFP/RFx process on key initiatives.
  • Ensure vendor compliance with procurement policies and quality standards.
  • Ability to self-direct, self-pace, and multi-task daily activities.
  • Maintain regular and timely attendance, report to work as scheduled and as required; ensure time worked and/or time-off is recorded properly.
  • Conduct job responsibilities in accordance with the standards set out in the Associate Handbook, University’s Code of Ethical Conduct, Compliance Agreement, Sexual Harassment Policy or any of its policies and procedures, applicable federal and state laws, and applicable professional standards.
  • Exercise care, proper use and maintenance of department equipment and supplies and identify unsafe conditions and make appropriate adjustments.
