About The Position

This position is responsible for management of data in CLTWater’s financial and project management systems, data analysis, and various special projects to support CLTWater’s Acquisition and Compliance Team. This position requires knowledge and experience with governmental purchasing, contracting, accounting, and reporting. This position reports to CLTWater’s Acquisition and Compliance Manager. The candidate should be willing to adapt to new tasks as the needs of the department change. Trimble Unity Construct is a constantly expanding and evolving system with new processes being identified; therefore, this position’s duties may shift to keep up with the demands of the department in providing procurement-related support for this system. Understanding procurement, contracts, and basic financial knowledge is essential for fulfilling all responsibilities. The salary for this position is $69,852.60/yr. - $77,613.99/ yr. Commensurate with experience

Requirements

  • Bachelor’s degree from an accredited school
  • Three (3) years of DIRECTLY related work experience.
  • Requires a valid driver’s license.
  • Background in Finance, Procurement, Administration, or Project Management.
  • Adaptable Self-starter who is motivated to accomplish goals without constant supervision
  • Possess effective oral and written communication skills
  • Ability to concentrate on detailed tasks like data entry while staying focused on big picture objectives
  • Ability to multi-task
  • Experience with financial and project management software
  • Basic knowledge of governmental purchasing, contracting, accounting, and reporting

Nice To Haves

  • Experience with Workday, Trimble Unity Construct, OnBase, and Sharepoint or similar systems is preferred

Responsibilities

  • Managing data in the City’s financial system (Workday) and the department’s project management system (Trimble Unity Construct) to ensure financial commitments are reconciled.
  • Work includes data entry and analysis, uploading supporting documentation, providing entry or approval in multiple processes, working with Project Managers on requests, and regular reporting.
  • Generating reports with large quantities of data and performing detailed analyses of contracts and purchase orders.
  • Processing higher quantities of transactions at different periods throughout the year as needed to maintain compliance with department and city requirements.
  • Providing assistance to Acquisition and Compliance units related to compliance and analysis efforts, as well as special projects.
  • Developing process improvements and deliverables that advance the department related to contracts and procurement.
  • Communicating with vendors and other City departments, such as Finance, Procurement Management, Risk Management, and the City Attorney’s office, in order to process contracts and purchase orders.
  • Supporting the departments’ capital spending through the aforementioned systems in a timely manner is the top priority for this position.
  • Providing customer support for receiving and entering project updates in the City’s forecasting system, EarlyBird.
  • Monitoring systems for compliance, promptly resolving any issues, and communicate with team members regarding project updates.
  • Supporting the team’s work in systems such as SharePoint and OnBase.
  • Assisting with procurement initiatives, reporting, special projects, and other tasks as needed.
