SUMMARY: The Private Wealth Administrator provides high-level administrative, sales execution, and client development support to the Head of Private Wealth Strategies. This role serves as the operational and coordination backbone for a rapidly growing private wealth consulting platform, supporting advisor engagement, complex sales cycles, and ultra-high-net-worth (UHNW) client planning deliverables. Blending executive support with internal sales coordination, this role ensures a seamless experience for advisors, referral partners, and prospective clients—from initial engagement through onboarding—while supporting strategic initiatives, partner relationships, and sophisticated wealth planning solutions. The ideal candidate is detail-oriented, highly organized, relationship-focused, and thrives in a fast-paced, entrepreneurial financial services environment.

Requirements

  • Bachelor’s degree preferred (Business, Finance, Economics, or related field).
  • 3–5+ years of experience in wealth management, financial services, sales support, or executive assistance.
  • Strong understanding of advisor distribution models (RIA, custodial referral, independent broker-dealer) and high-net-worth client dynamics.
  • Experience supporting sales cycles, referral-based business, or complex client onboarding processes.
  • High proficiency in Microsoft Office (Excel, Word, PowerPoint); CRM experience required.
  • Exceptional organizational, communication, and follow-up skills.
  • Ability to manage multiple priorities independently while maintaining accuracy and discretion.
  • Willingness to learn and operate compliantly within the financial services regulatory environment.

Responsibilities

  • Serve as a key internal point of coordination for advisor, referral partner, and prospective client engagements.
  • Support inbound referrals and prospect activity by coordinating timely outreach, meeting scheduling, and next steps.
  • Gather, organize, and document client and case information to support introductory meetings and advanced planning discussions.
  • Prepare customized pitch materials, presentation decks, and follow-up correspondence in partnership with internal planning and advisory teams.
  • Track pipeline activity, referral sources, engagement stages, and key metrics using CRM systems (Salesforce, ThoughtSpot, or equivalent).
  • Assist with onboarding new advisory and client relationships, including data gathering, paperwork coordination, and internal handoffs.
  • Maintain and update sales collateral, case studies, and product overviews related to advanced wealth strategies (e.g., exchange funds, CRTs, PPLI, QSBS, ESOPs).
  • Provide proactive executive support to the Head of Private Wealth Strategies, including calendar management, meeting logistics, travel coordination, and correspondence.
  • Act as a liaison between leadership, advisors, internal teams, and external partners to ensure alignment and timely execution of priorities.
  • Draft, proof, and distribute client communications, meeting summaries, and internal materials with exceptional attention to detail and confidentiality.
  • Coordinate internal meetings, strategy sessions, advisor training events, and partner presentations.
  • Help oversee end-to-end sales cycle execution, ensuring deliverables, planning materials, and onboarding steps are completed efficiently and accurately.
  • Coordinate across internal and external stakeholders to keep engagements moving forward and aligned with service standards.
  • Track action items, deadlines, and follow-ups across multiple initiatives and stakeholders.
  • Support implementation of new strategic partnerships, product rollouts, and marketing initiatives tied to Private Wealth Strategies.
  • Research and compile competitive intelligence, market insights, or advisor channel trends relevant to advanced planning and UHNW clients.
  • Maintain documentation related to compliance, review processes, and client-facing materials.
