About The Position

The Private Event Administrator plans, coordinates, and runs private events for up to 50 people. This person answers phone calls, greets visitors at reception, responds to event questions, and schedules meetings and tours for potential bookings. They also help keep the member reservation database up to date and manage lunch, brunch, and dinner reservations. The job includes updating and sharing weekly menus and supporting the Director of Catering and Events with planning and carrying out all catering functions. The Private Event Administrator reports directly to the Director of Catering and Events and provides clear communication and support for all catering events. This role requires working nights, weekends, and holidays. Depending on experience, this pays $30.00 to $35.00 hourly USD. Must demonstrate the ability to work in the US without restrictions.

Requirements

  • Minimum 2-3 years of event planning experience
  • Minimum 2-3 years of Food & Beverage, Hotel, or Hospitality experience
  • Demonstrated knowledge of MS Office - including Word, Excel & Outlook
  • The ability to work nights, weekends, and holidays is required.
  • Must demonstrate the ability to work in the US without restrictions.

Nice To Haves

  • Experience with ReserveCloud, Prissm (formerly AIISeated), and Club Essentials is a plus.

Responsibilities

  • Plan, coordinate, and execute private events for up to 50 people.
  • Assist in maintaining the reservation database for daily member dining services.
  • Answer incoming phone calls and assist walk-in members with their event inquiries.
  • Schedule and conduct tours for prospective clients and bookings.
  • Help both members and non-members plan and successfully execute private events, luncheons, receptions, dinners, and other social gatherings.
  • Attend Food & Beverage meetings and collaborate with the Director of Catering and Events, the Food & Beverage Manager, and the Director of Culinary Operations to ensure the successful planning and execution of events for both members and non-members.
  • Create detailed floor plans for all events.
  • Assist the Director of Catering and Events as needed.
