About The Position

The Preventative Maintenance (PM) Coordinator is responsible for supporting the Maintenance & Reliability organization by managing the preventive maintenance ecosystem, controlling spare parts flow, and ensuring accurate execution of the maintenance schedule. This role acts as the operational bridge between technicians, engineering, facilities, warehouse, and management to ensure parts, work orders, and PM tasks are executed on time and to standard. This position focuses on administrative, planning, and system-driven responsibilities that keep the maintenance workflow organized and consistent.

Requirements

  • Familiarity with maintenance system and attention to detail.
  • Experience with hands-on maintenance or an industrial environment.
  • Familiarity with EAM or CMMS systems (SAP/EAM interaction a plus).
  • Strong organizational and computer skills.
  • Clear communicator with an eye for accuracy and procedural compliance.
  • Experience with CMMS/EAM systems.
  • Strong organizational skills and attention to detail
  • Ability to communicate clearly with technicians, warehouse, engineering, and management.
  • Basic understanding of mechanical, electrical, and automation terminology.
  • Ability to track, review, and interpret maintenance metrics.
  • Familiarity with spare-parts, BOMs, and inventory processes
  • Comfortable escalating when standards aren’t followed.
  • Proficiency with Excel or Lark Sheets; able to build simple dashboards/reports

Nice To Haves

  • Experience in manufacturing, robotics/automation, or large industrial equipment.
  • Experience with SAP, MES, or integrated systems.
  • Experience in BESS, battery manufacturing, or energy storage (preferred but not required).

Responsibilities

  • Enter new assets, update asset details, upload manuals, drawings, and BOMs as needed
  • Issue PM work orders to technicians and ensure accurate closure with parts, labor hours, failure codes, and comments.
  • Maintain and update the PM calendar; adjust frequencies per Maintenance Manager’s direction.
  • Monitor overdue PMs and escalate when schedules are not met.
  • Track PM completion rates and prepare weekly reports.
  • Standardize PM procedures and update tasks as equipment matures.
  • Support creation of lubrication charts and PM instruction sheets.
  • Maintain an organized backlog of corrective, preventive, and predictive work.
  • Enter new assets, update details, and upload manuals, drawings, and BOMs.
  • Ensure consistency in naming conventions, asset hierarchy, and maintenance codes.
  • Identify recurring issues and present them for Root Cause Analysis (RCA).
  • Support integration between SAP, EAM, MES, and related systems.
  • Assist Maintenance Supervisor with data and documentation for audits, customer visits, and HQ reporting.
  • Coordinate with Warehouse to ensure proper receipt, check-in, and storage of parts.
  • Create and maintain BOMs for critical equipment.
  • Track spare-part usage by work order and verify accuracy.
  • Monitor min/max levels, reorder points, and replenish stock through approved vendors.
  • Prepare parts kits for planned downtime, PMs, and major rebuilds.
  • Identify critical spares and long-lead items with the Maintenance Manager.
  • Maintain shelf-life tracking and support cycle counts and inventory reconciliation.
