About The Position

The Preconstruction Administrator supports the Estimating and Preconstruction teams by keeping project information organized, maintaining consistent workflows, and ensuring accurate documentation throughout the early planning phase of a project. This role helps coordinate bidding activities, manages drawings and project files, communicates with subcontractors and vendors, and prepares organized bid packages and turnover materials. The ideal candidate is detail‑oriented, highly organized, and comfortable managing multiple tasks while helping create clarity, structure, and smooth handoffs across all preconstruction activities. Requirements

  • Minimum Education | High School Degree
  • Office Admin Experience | 2yr
  • Microsoft Office 365 Experience | 2yr

Responsibilities

  • Bid Management & Vendor Coordination Manage the bid inbox, organize proposals, and share information with the preconstruction team. Send bid invitations, distribute updates, and follow up with subcontractors to ensure coverage. Maintain vendor records by adding contacts, updating categories, and logging bid-day responses.
  • Project Setup & Maintenance Set up new projects in Procore by creating folders, uploading plans, and organizing key information. Keep project files current by uploading bids, updating vendor details, and replacing outdated documents. Create bid packages using templates and ensure all notes and attachments are included.
  • Subcontractor Database & Pricing Support Maintain subcontractor records, including contacts, specialties, and required documents. Support estimating by gathering comparison data and updating subcontractor contact lists. Ensure adequate subcontractor participation for each bid.
  • Document & Drawing File Management Download, organize, and share updated drawings and project documents. Track and send addenda to internal teams and subcontractors. Prepare standard preconstruction forms and templates.
  • Preconstruction Support & Coordination Request quotes for early services such as surveys or environmental checks. Support the team by organizing documents, scheduling meetings, and maintaining simple logs. Prepare turnover materials for smooth handoff to project teams.
  • Administrative & Proposal Support Assemble organized bid packages and qualification forms using templates. Assist with proposals, RFPs, and preconstruction documents by gathering and updating materials. Maintain shared folders and project files for easy, consistent access.
