About The Position

The Preconstruction Coordinator plays a key role in supporting the Estimating and Preconstruction teams by organizing bid processes, maintaining project documentation, and serving as a liaison between internal teams, clients, architects, consultants, and subcontractors. This position is essential to delivering accurate, timely, and well-coordinated preconstruction efforts. The ideal candidate is highly organized, detail-driven, and team-oriented, with strong communication and technical abilities. Requirements

  • Authorized to work in the United States without the need for current or future visa sponsorship.
  • High school diploma or equivalent required; associate’s or bachelor’s degree in Construction Management or a related field preferred.
  • Three years of experience in construction, estimating, or project coordination preferred
  • Working knowledge of construction documents, drawings, and specifications
  • Proficiency in Microsoft Office Suite and construction-related software
  • Strong organizational, communication, and time-management skills
  • Ability to manage multiple priorities, meet deadlines, and work independently or collaboratively
  • Professional demeanor with a client-focused mindset
  • Ability to successfully pass a background check and pre-employment drug screening.

Responsibilities

  • Coordinate bid invitations, subcontractor outreach, and proposal tracking
  • Solicit, track, and follow up on subcontractor bid proposals in collaboration with the Preconstruction Team
  • Support estimators by preparing bid forms, compiling subcontractor information, and maintaining bid documentation
  • Maintain and update subcontractor prequalification records and databases
  • Assist with the distribution of plans and specifications, scheduling meetings, and organizing documentation
  • Create and maintain accurate, well-organized filing systems for preconstruction and project records
  • Assist with project start-up packages and the transition of preconstruction documents to operations teams
  • Prepare reports, spreadsheets, bid tabulations, and comparison matrices for proposal evaluation
  • Provide administrative and coordination support for meetings, proposals, and deliverables
  • Maintain strict confidentiality of company, employee, and financial information
  • Perform additional duties as assigned.
