About The Position

The Pre-Release and Intake Supervisor, under the direction of the inspHire Program Manager, oversees the Intake staff by planning, assigning, and reviewing their work, as well as selecting and training team members. The role involves managing resources, approving work products, and coordinating activities that impact the organization’s effectiveness. The Supervisor also provides intake services to a small group of program candidates.

Requirements

  • Proficiency in using computers and the ability to learn new software applications.
  • Strong documentation skills with attention to detail and accuracy.
  • Excellent written and verbal communication skills, with the ability to establish rapport and maintain professional relationships.
  • Ability to work effectively in diverse settings with culturally diverse families and communities, demonstrating cultural sensitivity and appropriateness.
  • Must be able to obtain and maintain authorization from the Florida Department of Corrections and the Hillsborough County Sheriff’s Office to access their prisons and jails.
  • Ability to motivate and inspire individuals to achieve goals.
  • Proficient in the English Language.
  • Bachelor’s degree in social work, Criminology, Psychology, Behavioral Health, or other related field required; master’s degree preferred.
  • At least four years’ human services experience; preferably four years of experience working with a non-profit.
  • Experience working with the underserved and people in crisis.
  • Ability to legally operate a motor vehicle.

Responsibilities

  • Oversees Intake staff activities, including setting deadlines, assigning workloads, and providing accountability and constructive feedback to ensure program compliance and enrollment goals are met.
  • Leads weekly Intake Team meetings to review tasks, ensures consistency with inspHire procedures, and collaborates on staffing decisions and program improvements.
  • Coordinates the transition of clients from Intake to Case Management, including client assignments, documentation accuracy, and compliance with Plan of Care recommendations.
  • Partners with FDC, Hillsborough County Sheriff's Office, and other community partners to recruit potential clients from various correctional and community facilities.
  • Schedules and assigns Intake presentations at partnering agencies to Intake staff and participates in community events to raise program awareness.
  • Visits FDC supervision offices and re-entry institutions weekly to present program benefits and collects potential client information.
  • Manages a caseload of candidates from application to enrollment, following up regularly and coordinating their release and transportation plans.
  • Partners with transitional housing providers to ensure secure housing for candidates upon release.
  • Inputs all interactions with candidates into the ETO system and maintains accurate client records, ensuring compliance with inspHire guidelines and HIPAA regulations.
  • Communicates with the Program Manager regarding funding sources for candidates and manages the submission and updates of DC5-404 referral forms.
  • Prepares professional reports, memoranda, and letters related to candidates, ensuring data accuracy and timely completion in the ETO system.
  • Ensures that all client physical folders are accurate and submitted to the Case Management department in line with inspHire guidelines.
  • Monitors Intake and Pre-Releases activities, timelines, and ETO data accuracy to ensure timely client enrollment.
  • Ensures compliance with program eligibility requirements and proper selection of funding sources for candidates.
  • Reviews documentation submitted by Intake Specialists for completeness and accuracy, seeking corrections and providing education and feedback as needed.
  • Assists the Program Manager with monthly invoicing to funders, ensuring all services are properly documented.
  • Coordinates with community partners and intake team members to streamline client intake processes and ensure smooth transitions.
  • Handles day-to-day client-related issues with other agencies, partners, and vendors, ensuring effective communication and resolution.
  • Performs other duties as assigned.
