About The Position

At Hogan Lovells, the Practice Specialist supports the core business and administrative operations of a legal practice, serving as a primary point of contact for client invoice inquiries and engagement letters. The role is central to maintaining accurate documentation, supporting financial and client-facing processes, and ensuring the efficient day‑to‑day operation of the practice. This position brings a strategic, solutions‑oriented approach to operational planning, business development support, and process improvement, helping align administrative operations with practice priorities and broader firm objectives. The Practice Specialist exercises sound judgment, discretion, and collaboration in a fast‑paced, confidential environment and is a key contributor to practice success.

Requirements

  • Five or more years of experience in a strategic support role within a law firm or professional services environment, with a focus on financial analysis and reporting.
  • Experience supporting project coordination, strategic initiatives, and cross‑functional collaboration.
  • Strong understanding of legal operations, billing practices, and financial reporting.
  • Excellent written and verbal communication skills.
  • High attention to detail with strong organizational and prioritization abilities.
  • Proficiency with Microsoft Office, CRM systems, legal and billing platforms, and project management tools.
  • Experience with Serengeti, Legal Tracker, and AI‑enabled productivity tools.
  • Strategic, analytical, and solutions‑oriented mindset.
  • Professional discretion and ability to handle highly confidential information.

  • JD or MBA a plus

Responsibilities

  • Serve as the primary client contact for invoice and engagement‑related inquiries.
  • Manage engagement workflows, including conflicts clearance, rate setup, special billing arrangements, and invoice compliance.
  • Monitor client budgets and prepare accruals, reconciliations, and comparative spending analyses.
  • Manage monthly client billing and provide backup support for time recording, review, and month‑end close.
  • Coordinate with Client Account Specialists and support invoice follow‑up and collections as appropriate.
  • Prepare status, utilization, and financial reports using Serengeti, Legal Tracker, or similar systems.
  • Track matter status and maintain searchable repositories of key documents and outcomes.
  • Review utilization reports to support capacity planning and practice management decisions.
  • Coordinate with associates to compile matter updates for client and internal reporting.
  • Conduct billing rate analyses and prepare financial reports supporting pricing strategy and revenue planning.
  • Prepare practice‑specific court and legislative filings.
  • Support practice leadership in strengthening the practice’s internal and external profile.
  • Partner with Marketing and Business Development to support strategic initiatives and market‑aligned activities.
  • Track business development initiatives and follow up on leads in collaboration with attorneys.
  • Assist with drafting matter descriptions for bios, pitches, rankings submissions, and audit responses.
  • Support client‑facing and internal initiatives aligned with firm goals.
  • Coordinate meetings, events, and conferences as needed.
  • Participate in practice, office, Inclusion, and Responsible Business initiatives.
  • Respond professionally to requests, manage ad hoc projects, and follow firm document management protocols.
