We are seeking a full-time, 40-hour Practice Specialist to join our Sports Medicine team in Wellesley! Our team of Orthopedic surgeons, nonoperative sports medicine doctors, and PAs with expertise in shoulder, knee, and other activity-related injuries treat a large volume of patients of all ages and skill levels. We offer a full range of services tailored to the needs of athletes at all levels, including high school, college, professional athletes and weekend/recreational athletes. The Sports Medicine Service provides fast, effective, and highly adaptable treatment plans with patient goals at the center. This on-site role is located in our convenient Ambulatory Care Center at 978 Worcester Street in Wellesley, MA. The schedule is Monday through Friday from 8:00am-4:30pm. The Practice Specialist plays an integral part in the operations of our community-based physician practices. This role will serve as the lead front desk professional who oversees daily administrative operations, mentors and coordinates front desk staff, and ensures efficient workflows and an exceptional patient experience. This is a unique opportunity to work autonomously in a close-knit practice with a mix of patient facing and administrative responsibilities to support/lead our front desk team members! Summary Performs both administrative and clinical functions to support smooth and efficient clinical service or practice operations, under minimal supervision. Performs administrative duties related to patient visits including scheduling, check-in, check-out duties (performs all duties of the other levels at highest proficiency level). Actual job duties may vary by Department.

Requirements

  • High School Diploma or Equivalent required
  • 3-5 years office experience required
  • Strong technology and MS Office skills – Advanced Outlook, Word, Excel, PowerPoint
  • Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
  • Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
  • Communicating effectively in writing as appropriate for the needs of the audience and talking to others to convey information effectively.
  • Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages.
  • Managing one's own time and the time of others.
  • Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
  • Ability to proofread and edit written documents.

Nice To Haves

  • The ideal candidate is an organized, proactive self‑starter who can effectively multitask and prioritize, with strong experience in healthcare administration; proficiency in Epic and an understanding of orthopedics are strongly preferred.

Responsibilities

  • Assist the Practice Manager in ensuring the smooth and efficient overall day to day operations of the front desk, and other administrative functions of the practice.
  • Provide excellent customer service, assisting in situations as needed to provide optimal care for our patients
  • Assist Practice Manager in assigning coverage for planned and unplanned staff absences, lunch breaks, and other schedule-related issues for staff
  • Manage authorizations in collaboration with clinical team to ensure timely submission. Complete reminder calls as needed, along with reviewing and following up on Televox reports
  • Meet regularly with Practice Manager to provide support and work collaboratively to enhance efficiencies within the practice setting.
  • Following up with patients and staff, as needed, to close the loop on outstanding issues
  • Check-in and check-out tasks and procedures.
  • Assign and delegate tasks to Clinic/Practice Assistants daily.
  • Mentor and motivate staff members
  • Perform routine administrative and clerical duties relating to a clinical service or physician practice office. Make patient appointments and maintain appointment records. Assist callers with routine inquiries and schedule appointments. Process patient billing forms and scan documents to patient medical record/LMR.
  • Acts as "Super User" for scheduling, registration and billing systems. Provides assistance and training to others in these areas. May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
  • Provides functional guidance to Office and Practice Assistants.
  • In conjunction with Supervisor oversees daily activities of practice staff.
  • May be required to accept co-payments. Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
