Caldwell Medical Center Job Description JOB TITLE: Practice Manager DEPARTMENT: Caldwell Medical Associates REPORTS TO: Clinic Operations Director SUPERVISES: Assigned Clinic Staff POSITION SUMMARY: The clinic manager is responsible for overseeing the daily operations of medical clinics. This includes managing staff, scheduling appointments, ensuring compliance with regulations, coordinating patient care, handling administrative tasks, and maintaining effective communication with healthcare providers and patients. The manager also plays a key role in optimizing the clinic’s efficiency, patient satisfaction, and financial performance. KEY RESPONSIBILITIES ESSENTIAL FUNCTIONS: Plans, coordinates and directs the delivery of clinic services. Ensures compliance with government regulations. Represents clinic in training and meetings as required. Works closely with providers and staff to deliver high quality care. Assigns work duties to all staff. Creates staff and provider schedules. Approves staff time and attendance and minimizes overtime by management of staff. Monitors appointment schedules for maximum use of providers time and ease of scheduling patient appointments. Observes all staff for productivity and efficiency. Looks for and implements improvements in workflow processes. Monitors supplies on hand and keeps minimum stock on hand. Assist providers as necessary to make sure charts are completed by the end of each business day. Interacts with customers to look for new business opportunities and maximize services offered. Resolves complex customer inquiries and staff complaints. Sets the example everyday of going above and beyond what is required. Liaising with healthcare professionals and patients about treatment plans. Keeping medical professionals informed about healthcare administered at the clinic. Managing the clinics budget. Overseeing the purchasing, maintenance, and repair of clinic equipment. Developing procedures to deliver optimal patient care. Performing the hiring, training, and performance evaluation of staff members. Managing internal and external communications, and answering queries about the clinic. Performs other duties as assigned

Requirements

  • Bachelor's degree in healthcare or business.
  • Experience in managing a medical clinic.
  • Ability to supervise and motivate clinic staff to perform their duties efficiently.
  • Exceptional organizational skills to ensure that quality services are provided.
  • Knowledge of procuring supplies, equipment, and staff needed at the clinic.
  • Proficiency in managing budgets, billing, and negotiating with suppliers and vendors.
  • Competency with computer-based healthcare administration systems, like EMR.
  • Exceptional interpersonal skills for liaising with patients, healthcare providers, and specialists, as well as the public.
  • Excellent written and verbal communication skills
  • Prior experience required.
  • Excellent guest service, communication, and multi-tasking skills required.

Nice To Haves

  • Master’s degree in related field.
  • Two or more years of related work experience preferred.
