About The Position

Well-established practice in south suburbs of Chicago is seeking an experienced Practice Administrator / Office Manager to lead the daily operations of our dental practice. This role is critical to ensuring operational efficiency, regulatory compliance, and an exceptional patient experience. The ideal candidate is a strong leader with a passion for patient care, financial performance, and team development-and must be highly proficient in Dental Office Management Systems, practice management software. We are located 30 minutes from the Chicago loop. We are a welcoming and strong team and are ready for you to come be a part of our family!

Requirements

  • Minimum 1–2 years of dental office management or supervisory experience
  • Proficiency in Dental Office Management Systems
  • Strong knowledge of dental terminology, insurance processes, and patient billing
  • Excellent leadership, communication, and organizational skills
  • Ability to manage multiple priorities in a fast-paced environment
  • High level of professionalism, discretion, and patient service orientation

Nice To Haves

  • Experience generating and analyzing reports in our Dental Management System
  • Knowledge of HR functions including hiring, onboarding, and scheduling
  • Experience in a multi-provider or multi-location dental practice

Responsibilities

  • Oversee day-to-day operations of the dental office to ensure smooth workflows
  • Lead daily morning huddles to align the team and review priorities
  • Foster a positive, professional, and patient-centered culture
  • Supervise, train, and support front office and clinical staff
  • Conduct performance reviews and provide ongoing coaching and feedback
  • Ensure accurate scheduling, patient flow, and treatment coordination using Open Dental
  • Monitor and achieve office production and collection goals
  • Manage accounts receivable, outstanding balances, and insurance claims
  • Make daily deposits and ensure timely, accurate claim submissions
  • Work directly with patients to resolve balances and present financing options (Cherry, Sunbit, CareCredit)
  • Assist in budget preparation and adherence to financial goals
  • Maintain compliance with OSHA, HIPAA, and all regulatory standards
  • Manage office supplies, equipment, and vendor relationships within budget
  • Generate, analyze, and report on KPIs including production, collections, and A/R
  • Ensure patient communications, recalls, and follow-ups are completed accurately in Open Dental
  • Deliver outstanding customer service and promptly resolve patient concerns
  • Support case acceptance through treatment plan presentations and financial discussions
