About The Position

The Porter Supervisor is responsible for overseeing daily custodial and porter operations across nonprofit facilities, ensuring buildings are clean, safe, and welcoming for clients, staff, volunteers, and visitors. This role supervises porter staff, coordinates schedules, conducts routine facility walkthroughs, and maintains full staffing coverage at all times. The Porter Supervisor is accountable for securing coverage for staff absences due to call-outs or approved leave and is responsible for covering shifts personally when replacement coverage cannot be obtained. The role also supports program operations by planning cleaning projects around program schedules, closures, and vacation periods and by coordinating supply needs with operations leadership. Requirements

  • High school diploma or equivalent, required
  • Prior experience as a porter, janitor, or custodial staff, required
  • Supervisory or lead experience preferred, particularly in nonprofit, residential, or program-based environments
  • Strong organizational, scheduling, and coordination skills
  • Proven ability to manage staff coverage and last-minute operational needs
  • Willingness and ability to work flexible hours and personally cover shifts when required
  • Strong communication and problem-solving skills
  • Knowledge of custodial best practices, safety protocols, and cleaning equipment
  • Ability to stand, walk, bend, and lift up to 50 pounds

Responsibilities

  • Supervise, train, and support porter staff in accordance with nonprofit policies, service standards, and safety procedures
  • Assign daily work tasks and monitor quality, timeliness, and completion
  • Conduct daily walkthroughs of assigned buildings to ensure cleaning work is being performed properly, consistently, and in alignment with program needs
  • Identify deficiencies during walkthroughs, address issues immediately, and provide corrective guidance to staff
  • Maintain a clean, safe, and respectful environment for clients, staff, volunteers, funders, and visitors
  • Develop, manage, and adjust porter schedules to support nonprofit programs, events, and building usage
  • Ensure all shifts are fully staffed, including early mornings, evenings, weekends, and holidays as required
  • Proactively arrange coverage for absences due to call-outs, vacations, sick leave, or other approved time off
  • Contact available staff, approved substitutes, or adjust assignments to eliminate staffing gaps
  • Assume direct responsibility for covering open shifts when coverage cannot be secured
  • Track attendance issues and communicate recurring concerns to management
  • Maintain regular inspections to ensure facilities meet cleanliness, safety, and compliance standards
  • Work closely with the Operations Coordinator to identify supply needs and order custodial and porter supplies in a timely and cost-effective manner
  • Monitor inventory levels and report shortages or issues promptly
  • Ensure proper use, care, and storage of cleaning tools, equipment, and supplies
  • Plan and coordinate deep-cleaning, restoration, or special cleaning projects during periods when buildings, offices, or programs are vacant, closed, or on vacation
  • Schedule cleaning projects to minimize disruption to active nonprofit programs and services
  • Collaborate with program staff, operations teams, and leadership to align cleaning priorities with organizational needs
  • Respond promptly to urgent facility issues, emergencies, and service requests
  • Serve as the primary point of contact for porter-related issues during assigned shifts
  • Model professionalism, respect, and consistency in all interactions
