About The Position

Fanatics is building a leading global digital sports platform, aiming to ignite the passions of global sports fans and maximize presence for hundreds of sports partners. They offer products and services across Fanatics Commerce, Fanatics Collectibles, and Fanatics Betting & Gaming, allowing fans to Buy, Collect, and Bet. The platform provides licensed fan gear, trading cards, memorabilia, and supports a global partner network of approximately 900 sports properties, 2,500 athletes and celebrities, and 200 exclusive athletes, with over 2,000 retail locations. The Athlete Partnerships Purchase Order Coordinator role is responsible for managing purchase orders, producing invoices, and ensuring timely payments to talent/agencies and vendors. This involves coordinating with external parties to gather tax information for Accounts Payable, maintaining agreement databases, and performing data-driven exercises weekly for Athlete Partnerships. The role requires collaboration with internal teams like Accounts Payable, Finance, Operations Marketing, and daily correspondence with external agencies and Topps representatives.

Requirements

  • Bachelor’s degree required.
  • Experience in related field (Business, Accounting, Finance, etc.).
  • Thorough understanding of financial close processes and controls.
  • Candidates should be analytical, organized and highly detailed-oriented.
  • Must like a fast-paced environment, and have ability to work under pressure, meet tight deadlines and thrive in changing circumstances.
  • Exceptional written and oral communication.
  • Well-versed in Microsoft Office applications, must love Excel.

Nice To Haves

  • Experience with Oracle and Contract Lifecycle Management systems.
  • Previous experience in sports/entertainment preferred.

Responsibilities

  • Create new suppliers and maintain purchase orders from inception to completion.
  • Work closely with Accounts Payable to ensure supplier addresses and tax information are up to date and current in the system.
  • Oversee new onboarding portal for vendors providing support to ensure full execution, as well as providing guidance/feedback to internal parties for ongoing improvements and efficiencies.
  • Ensure that inventory receipts are transacted accurately, and all expenses are allocated to the appropriate GL accounts.
  • Act as liaison to multiple internal departments, including Operations, Finance, Marketing and Brand teams, to implement fulfillment of contract requirements and payments.
  • Maintain overarching autograph agreement databases, as well as individual player contracts and required tax information for 1099 processing per IRS guidelines.
  • Ensure compliance to contractual obligations ensuring all services on agreements are executed.
  • Foster and maintain relationships with talent, agents, Topps reps and industry contacts; provide status updates on deals and handle special requests as needed.
  • Assorted departmental tasks as needed.
