Physics and Astronomy Travel Specialist (part-time 17.5 hours/week) The Department of Physics & Astronomy at BYU is seeking a detail-oriented and proactive Part-Time Travel Specialist to support the travel needs and coordinate logistics for our faculty, staff, and students. This role is essential in coordinating domestic and international travel for faculty, staff, and students attending conferences, conducting research, and participating in academic collaborations while ensuring smooth and policy-compliant travel arrangements. Requirements

  • A firm commitment to the mission of BYU
  • Minimum of 1 year of experience in travel planning, administrative support, or related field
  • Excellent organizational skills and attention to detail, with the ability to maintain confidentiality of personal data
  • Strong written and verbal communication skills
  • Willingness to provide excellent customer service and effectively troubleshoot travel complications and changes
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

Nice To Haves

  • Associate’s degree or equivalent experience in business administration, travel coordination, or a related field
  • Familiarity with university or research institution travel policies
  • Experience working with faculty, students, and grant-funded travel
  • Previous use of travel booking platforms and expense management systems (e.g., Deem, Workday)

Responsibilities

  • Coordinate and facilitate booking of domestic and international travel, including flights, accommodations, ground transportation, and conference registrations in compliance with university policies and grant requirements.
  • Prepare and submit travel spend authorizations and expense reports in accordance with university and grant policies with appropriate documentation.
  • Liaise with faculty, staff, and students to understand travel needs and provide tailored support.
  • Stay current on university travel policies, visa requirements, and international travel protocols and advisories.
  • Ensure cost-effective planning to stay within approved travel budgets.
  • Maintain accurate travel records and assist with post-travel reporting and audits.
