Responsibilities: Oversees and directs Physician Support employees in Sleep Department. Assigns and directs work and provides guidance and direction to Physician Support Representatives and Referral/Prior Authorization Specialists. Provides input and support related to recruiting, hiring, training, goal setting, performance management and promotional decisions. Acts as a subject matter expert related to referrals, prior authorizations, CPAP and Sleep Lab job duties, divisional scheduling guidelines, and clinic management processes. Consistently and regularly identifying areas of improvement and demonstrate and model ICARE values. ESSENTIAL FUNCTIONS Coordinates and manages staffing plans, assignments, and daily work for assigned Physician Support team to ensure effective and efficient communication around referrals, Prior Authorizations, CPAP and Sleep Lab administrative tasks. Implements and monitors procedures to enhance levels of service and quality. Prioritizes and assigns work activities, evaluating effectiveness and modifying processes as necessary. Serves as a resource for answering complex questions or issues related to Sleep physician support job duties and assists in problem identification, quantification, and resolution Acts as primary resource for new staff, including training, onboarding, and monitoring for referrals, prior authorizations, CPAP and Sleep Lab administrative tasks. Collaborates with Clinical leads team to develop and revise Sleep workflows that impact Physician support roles. Identifies and communicates opportunities for improvement to increase utilization and/or ease of scheduling to practice manager. Acts as subject matter expert and information resource for Sleep Medicine Division. Attends Erecord Superuser meetings for department at direction of supervisor and teaches other staff. Monitors referrals, prior authorizations, CPAP and Sleep Lab activities to ensure policies and procedures are being followed. Continuously evaluates and communicates concerns to manager. Acts as primary contact for Access Center and physicians regarding complex scheduling tasks related to Sleep Medicine referrals, prior authorizations, CPAP and Sleep study scheduling. Ensures prompt coordination of scheduling requests. Collaborates with staff, providers and leadership across Sleep Division to establish, implement and monitor adherence to best practices and standards. Participates in recruiting, hiring and promotion decisions for Sleep Physician Support Reps and Referral Coordinator/Prior Authorization. Assists with performance evaluations. Monitors staff performance. Counsels staff regarding performance issues. Updates time off calendar with same-day absences or vacation requests. Manages and approves staff requests for time off and overtime. Conducts monthly staff meetings with Practice Manager and OAR Lead. Performs administrative duties of physician support, referrals, CPAP and Sleep Lab as required, and covers team as required. Maintains proficiency in customer service, accuracy and efficiency. Coordinates urgent referrals, sleep studies and prior authorizations. Other duties as assigned.
