About The Position

The Physical Therapy Scheduler plays a critical role in the smooth operation of Montage Orthopedics and Sports Medicine by coordinating patient appointments and supporting the administrative needs of the physical therapy department. This position ensures timely and accurate scheduling of evaluations, follow-up visits, and referrals, while maintaining compliance with insurance requirements and clinic protocols. The scheduler serves as a key liaison between patients, therapists, and administrative staff, contributing to a professional and efficient care environment. This opportunity is ideal for individuals with strong organizational and communication skills who are passionate about healthcare operations and patient service.

Requirements

  • Prior experience in medical scheduling, physical therapy, or healthcare administration preferred
  • Familiarity with insurance verification and authorization processes is a plus
  • Strong multitasking and organizational skills required
  • Customer service or patient-facing experience is highly valued
  • EMR experience and knowledge of medical terminology are beneficial but not mandatory
  • High school diploma or equivalent required
  • College coursework or degree in healthcare administration, kinesiology, or related field preferred but not required

Responsibilities

  • Schedule initial evaluations, follow-up visits, and referrals based on therapist availability and patient needs
  • Verify insurance eligibility and obtain authorizations for physical therapy services as required
  • Communicate effectively with patients regarding appointment details, cancellations, and rescheduling
  • Ensure all necessary documentation (e.g., op reports, referrals, authorization) is received prior to appointments
  • Maintain accurate records in the electronic medical record (EMR) system, including demographic and authorization information
  • Collaborate with therapists and administrative staff to ensure complete and accurate patient charts
  • Monitor and respond to incoming calls, texts, faxes, and messages in a timely and professional manner
  • Assist with coverage of other scheduling staff during time off or high-volume periods
  • Uphold patient confidentiality and clinic standards in all interactions
  • Perform other administrative duties as assigned by management
