About The Position

Mountain View Hospital is looking for a Pharmacy Technician Administrative Coordinator to join our team! JOB SUMMARY: Primarily accountable for the performance of clerical functions to support smooth administrative operations of the organization with the Clinics’ orders. Works cooperatively with other members of the interdisciplinary health care team and performs clerical & clinical work for the office and other members of the team as directed by management.

Requirements

  • Must be capable of taking direction from a variety of people, since this individual performs diverse functions as needed throughout the organization and Pain Clinics.
  • Must have organizational skills sufficient to plan and carry out activities once assignments have been made.
  • Must possess pleasant phone demeanor and customer service attitude.
  • Must maintain confidentiality of patient, business, and employee information.
  • Must possess a valid Idaho driver’s license, meet minimum Idaho State automobile insurance requirements, and have the use of an automobile for transportation and use in performing assigned duties
  • Must possess visual acuity and manual dexterity sufficient for performance of typing and filing duties.
  • High School Graduate or Equivalent
  • Ability to speak effectively and politely, before groups of employees of the organization and Clinics.

Responsibilities

  • Primarily accountable for the performance of clerical functions to support smooth administrative operations of the organization.
  • Performs typing, filing, copying, mailing, or other clerical functions.
  • Required to obtain and follow authorizations.
  • Expected to respond to fluctuations in work load.
  • Must demonstrate a willingness to perform all requested job related tasks.
  • Keeps track of patient appointments. Makes sure patient appointments are scheduled and patients receive their pain pump refill before expiration date. Tracks medication from cradle to grave.
  • Makes sure all paperwork is accounted for at each refill including Delivery Tickets and tracking of annual accreditation required paperwork.
  • Liaison between organization and Clinics.
  • Input orders and file patient charts.
  • Coordinating orders and deliveries with the Clinics.
  • First line of defense in getting orders for medication. Checking orders for errors or potential errors.
  • Looking over concentration, drug volume, location or any other discrepancies. . Communicates and coordinates with all members of PCHC and physician office teams on changes or discrepancies from receiving orders to the medications being dispensed.
  • Tracking patient’s previous doses and note of changes.
  • Notifies the pharmacist and Clinic for clarification if order comes with discrepancies or does not come with anticipated dose changes.
  • When delegated by a pharmacist, take dose changes via email or WebEx and update changes on the Rx for the pharmacist to initial.
  • Stays current on patient encounters to anticipate and notify pharmacists of upcoming dose concentration changes and notable patient activity. As well as tracking upcoming surgery appointments and treatment locations.
  • Medication delivery coordinator. Make sure medications are going out as scheduled daily.
  • Keeps track of expired medications and ensures the clinics waste syringes in a timely manner with documentation.
  • Contact team to drop charges on patient medication that you are asked to track.
  • Keeps track of patient medication records and allergies. Updating changes in patient medication profile on EMR as needed.
  • As a delegate under designated pharmacist with the Idaho Prescription Monitoring ProgramChecks the PMP when requested and notes if the patient is seeing other doctors for pain medications and informing the pharmacists when necessary. Printing off PMP’s for new patient charts and when requested.
  • Prepare new patient charts. This includes encounter notes, PMP, insurance information, allergies, home medication and anything else the pharmacist requests.
  • Updating progress notes in EMR when a patient status changes (ie deceased, moving, Rx changes to anticipate or if a pharmacist needs to check on a patient).
  • Tracking of per diem patients and their appointments. Compile a list of the patient who kept their appointments for billing at the beginning of each month for the prior month.
  • Track process improvement, errors, medication wasted, cancellations and urgent orders.
