Requirements

  • Previous experience as a Personal Assistant, Administrative Assistant, or Marketing Assistant
  • Strong organizational skills and ability to multitask in a fast-paced environment
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office, Google Workspace, and Canva (or similar tools)

Nice To Haves

  • Bilingual (English/Spanish) strongly preferred
  • Experience in food, retail, hospitality, or marketing industries is a plus

Responsibilities

  • Manage daily administrative tasks including filing, scanning, copying, typing, and document organization
  • Monitor and respond to company emails, resolving issues within scope
  • Filter and organize inbox communications (removing non-relevant promotional emails)
  • Communicate professionally via phone, email, and in person
  • Schedule both business and personal appointments
  • Coordinate travel arrangements (flights, hotels, transportation, dining)
  • Maintain and update company contact directory
  • Proofread, format, and create professional documents in English and Spanish
  • Complete data entry for leadership as needed
  • Greet and assist clients, vendors, and partners
  • Prepare meeting agendas, materials, and schedules
  • Pull and summarize information from emails, records, and documents
  • Support the Marketing Director with campaign execution for food products and retail promotions
  • Assist in creating and proofreading marketing materials (digital + print)
  • Help coordinate events, pop-up shops, and seasonal activations
  • Maintain vendor and customer records
  • Monitor and order office/marketing supplies as needed
  • Additional tasks as assigned by the Marketing Director or leadership team
