About The Position

Elmhurst Dental is seeking an experienced, compassionate Treatment Coordinator to join our exceptional team of dental professionals. This role is ideal for someone who thrives in a patient-focused environment, excels at organization, and enjoys being the welcoming face of a busy dental practice. As the first point of contact for our patients, the Treatment Coordinator plays a vital role in creating a warm, professional, and seamless experience from check-in to check-out. Periodontal experience is strongly preferred. The Treatment Coordinator oversees and supports front desk operations while assisting other areas of the practice as needed. This position is essential to delivering outstanding customer service, maintaining efficient workflows, and supporting treatment coordination—particularly during our Periodontist’s 2.5 days per week in the office.

Requirements

  • Proven experience in a front desk or administrative role, preferably in a dental office.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Knowledge of dental terminology, procedures, and insurance processes.
  • Proficient in using dental office software and general office applications.
  • High school diploma or equivalent

Responsibilities

  • Greet patients and visitors with a friendly, professional and welcoming demeanor.
  • Ensure the reception area is clean, comfortable and inviting.
  • Check patients in and out efficiently and accurately.
  • Answer incoming calls, address inquiries, and route calls as appropriate.
  • Schedule and manage appointments based on provider availability.
  • Send appointment reminders and manage cancellations or rescheduling.
  • Ensure re-care appointments are scheduled.
  • Follow up with patients regarding unscheduled treatment plans.
  • Support treatment coordination during Periodontist clinic days.
  • Maintain accurate and up-to-date patient records.
  • Verify patient demographics and insurance information.
  • Process insurance claims and payments.
  • Collect and record payments for services rendered.
  • Oversee and participate in collections of aged receivables.
  • Coordinate with dental assistants, hygienists, and providers to ensure seamless patient care.
  • Address patient concerns related to scheduling, billing, or services with professionalism and empathy.
  • Collaborate with the clinical team to resolve patient issues effectively.
