Special Requirements Must be able to work in Reston, VA up to 3x per week The Gist The People Operations Coordinator plays a critical role in supporting a welcoming, well-functioning office environment while providing essential operational support across People Operations – HR, Office Management, Recruiting, Talent, and Accounting. This role serves as a key partner to the broader People Ops team, ensuring smooth day-to-day operations, exceptional employee experience, and strong administrative execution. This position requires flexibility, strong organizational skills, attention to detail, and comfort juggling multiple priorities in a fast-paced, human-centered environment.

Requirements

  • 2+ years of experience in office operations, administrative support, People Operations, HR, recruiting coordination, or a related role
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced, people-centered environment
  • Detail-oriented with a high level of accuracy when handling data, documentation, and systems
  • Professional, friendly, and service-oriented approach to supporting employees, candidates, and visitors
  • Strong written and verbal communication skills
  • Proficiency with standard workplace tools (Google Workspace or Microsoft Office) and HR-related systems
  • Ability to follow established processes while identifying opportunities for improvement
  • Willingness to cross-train and provide operational support across People Operations functions
  • Must be able to work in Reston, VA up to 3x per week

Responsibilities

  • Serve as a friendly, on-site point of contact for employees and guests, helping maintain a welcoming and organized office environment
  • Greet employees and visitors, assist with basic access needs, offer refreshments, provide office tours, and escort guests to meetings
  • Monitor the in-office scheduling app to help anticipate daily office needs
  • Support new hire first-day experiences by assisting with office setup and orientation logistics in partnership with the Senior HR Business Partner
  • Assist with conference room and meeting support: Help prepare meeting spaces, set up materials, and coordinate food orders as requested
  • Reset and tidy conference rooms after meetings and restock supplies
  • Support relationships with building management and office vendors by submitting requests, sharing updates, and escalating issues as needed
  • Help share building announcements, office updates, and event information with employees via internal communication channels
  • Assist with planning and supporting in-office events, including All Hands meetings and employee gatherings
  • Receive, sort, and distribute mail and packages
  • Send employee birthday cards via mail each month
  • Help maintain office organization and supplies: Perform light daily and weekly kitchen and common-area upkeep
  • Monitor office supply levels and assist with reordering to ensure items are stocked
  • Follow established processes and checklists to support office operations and facilities needs
  • Identify opportunities for small improvements to the office experience and share suggestions with team
  • Assistance with planning and supporting events hosted in the office space, like Bring Your Child to Work Day, Holiday Potluck, etc.
  • Assist with onboarding and offboarding processes, including scheduling, coordination and documentation
  • Help maintain accurate employee records across HR systems, ensuring data integrity and compliance with internal processes
  • Support benefits administration tasks, including preparation for open enrollment and employee communications
  • Assist with drafting, updating, and organizing HR policies, SOPs, templates, and internal documentation
  • Support HR programs and initiatives, such as quarterly check-ins, employee training, and employee engagement initiatives
  • Enable efficient hiring workflows by coordinating interviews, tracking feedback and approvals, updating candidate statuses, and helping recruiters move candidates through the funnel quickly
  • Own ATS data accuracy and operational readiness by closing and auditing requisitions, properly dispositioning candidates, resolving duplicates, and maintaining overall system integrity to support reporting and compliance
  • Support end-to-end talent operations by maintaining accurate candidate pipelines, executing sourcing and outreach activities, and ensuring clean, consistent data within iCIMS
  • Assist with Accounts Payable by entering subcontractor and vendor invoices, providing an additional level of review and administrative support
  • Support documentation and process coordination related to invoicing and payments
  • Cross-train on payroll processes to serve as backup support in emergency situations
  • Assist with payroll preparation tasks as needed, with review and approval completed by the Payroll Manager
  • Assist in creating, updating, and standardizing talent management templates, tools, and documentation
  • Help collect, organize, and validate talent and workforce-related information for reporting, planning, and training initiatives
  • Provide administrative and coordination support for talent management and development programs as needed
