About The Position

We’re looking for a People & Culture Specialist to join the Office of People & Culture team and support a wide range of human resources functions across the organization. This position plays a key role in ensuring operational excellence across benefits, compliance, and employee support while helping create a positive and seamless employee experience. Reporting to the Director of People & Culture, the Specialist manages day-to-day HR operations including HRIS administration, benefits, leaves of absence, and compliance.

Requirements

  • 2+ years of HR experience; experience in nonprofit and/or unionized environment is preferred
  • Proficiency with HRIS platforms; ADP experience is preferred
  • A background in working with nonprofit organizations, social services organizations, or community-based programs
  • Working knowledge of fair employment practices and relevant labor laws
  • Highly proficient in Microsoft Office Suite, Salesforce, and other software
  • Excellent written and verbal communication skills
  • Ability to work and collaborate with a diverse group of people on projects and making decisions for the benefit of our participants

  • Skilled at building relationships and collaborating across all levels of an organization
  • Highly organized, self-motivated, and capable of working independently to meet goals
  • Demonstrated ability to exercise appropriate judgement and uphold policies and procedures

Responsibilities

  • Administer HRIS (ADP), including employee data management, new hire processing, status changes, and system updates
  • Support benefits administration, including enrollments, terminations, open enrollment, and employee inquiries; coordinate with vendors such as Navia
  • Serve as the primary point of contact for leaves of absence, workers’ compensation, unemployment claims, and EDD-related reporting and responses
  • Process and track all Personnel Action Notices (PANs), ensuring proper documentation, approvals, and recordkeeping
  • Coordinate onboarding and offboarding processes, including Day 1 orientation, exit processing, system deactivations, and completion of employee documentation
  • Maintain accurate personnel files, organizational charts, and People & Culture documentation, ensuring compliance and audit readiness
  • Respond to employment related requests, including verifications, wage garnishments, and written wage verifications
  • Support union related processes, including reporting, communications, dues coordination, and longevity tracking and updates
  • Track and report new hires and terminations to applicable agencies and union partners
  • Support training and compliance initiatives by scheduling, tracking, and facilitating required trainings and onboarding programs
  • Assist with employee engagement efforts, including new hire programs, internal communications, and organization updates
  • Partner with Finance and internal teams on reporting, audits, and process improvements; provide backup support for reporting requests
  • Manage general administrative responsibilities, including mail distribution, volunteer coordination, and supporting internal operations
  • Participate in organizational initiatives, process improvements, and strategic projects; serve as a member of the safety committee
