About The Position

The Payroll Supervisor plays a critical role in ensuring accurate, compliant, and timely payroll operations for approximately 2,000 employees nationwide. This role oversees bi-weekly payroll processing, audits payroll data, resolves discrepancies, and ensures adherence to federal, state, and local wage laws. The position partners closely with HR, Finance, Tax, and field managers to support payroll accuracy, enhance processes, and maintain exceptional service standards. This position may qualify for a hybrid work schedule, working on-site Tuesday through Thursday and remotely on Monday and Friday, with occasional adjustments based on business needs.

Requirements

  • Minimum five years of hands-on Paycom payroll processing experience in a multi-state environment.
  • Strong knowledge of federal and state payroll laws, tax regulations, and best practices.
  • Experience processing wage and medical garnishments.
  • Familiarity with HR policies, procedures, and their relationship to payroll functions.
  • Experience with payroll administration, reporting, auditing, and HR metrics/analytics.
  • Ability to maintain strict confidentiality of sensitive information.
  • Strong attention to detail, organizational skills, analytical capabilities, and ability to prioritize under time-sensitive deadlines.
  • Excellent verbal, written, and interpersonal communication skills.
  • Self-driven, resourceful, and able to operate with minimal supervision.
  • Demonstrated experience resolving complex payroll discrepancies and compliance challenges.
  • Ability to contribute to the development of payroll policies, internal controls, and improved system workflows.

Responsibilities

  • Perform full-cycle bi-weekly payroll processing for 2,000 employees nationwide.
  • Review and audit timesheets for accuracy prior to payroll submission.
  • Ensure payroll aligns with all federal, state, and local laws, wage-hour regulations, and company policies.
  • Process wage and medical garnishments in compliance with applicable regulations.
  • Maintain and update employee payroll records, including personal information, compensation changes, tax withholdings, and job data.
  • Process employee terminations in compliance with state final pay laws.
  • Maintain payroll systems by consolidating timesheet information and entering data into payroll databases.
  • Stay current on changes in payroll laws and tax regulations; communicate potential impacts with the CHRO, VP & Controller, and Tax Manager.
  • Investigate and resolve payroll discrepancies, including missing time, pay errors, and missed payments.
  • Troubleshoot issues related to time reporting and payroll accuracy. Implement process improvements to address such issues.
  • Provide guidance to Retail Operations Leaders, Corporate Leaders, and employees about compliant pay practices, PAF workflows, and basic time management issues.
  • Provide data and documentation for unemployment claims, hearings, income verifications, and wage withholding orders.
  • Continually refine and improve payroll processes, internal controls, procedures, and system workflows.
  • Create, audit, and process payroll reports to ensure accurate and updated employee information.
  • Participate in HR, finance, or operational planning related to labor costs, budgeting, forecasting, and payroll-related decision-making.
  • Analyze payroll data to support financial and operational needs.
  • Navigate urgent, time-sensitive payroll projects as required.
  • Oversee payroll operations, including processing cycles, compliance, audit readiness, and system functionality.
  • Supervises and leads the payroll team (1-2 employees) by assigning work, monitoring day-to-day performance, providing coaching and training, and ensuring all tasks are completed accurately and on schedule.
  • Oversees staff compliance with payroll policies, internal controls, and regulatory requirements, and conducts regular performance evaluations to support employee development and maintain a high-performing, service-oriented team.
  • Interpret company policies and wage laws to resolve complex, ambiguous payroll situations.
  • Approve exception processes, including off-cycle payments and manual checks.
  • Provide policy guidance to HR, Accounting, and management on compensation rules.
  • Recommend payroll system enhancements, vendors, process changes, or technology improvements.
  • Serve as a payroll subject-matter expert with decision-making authority on significant payroll matters.
  • Respond to payroll-related inquiries from managers and employees, providing timely and accurate resolutions.
  • Train HR colleagues in payroll processes to serve as back-up payroll coverage during absences.
  • Communicate clearly and professionally via phone, Teams meetings, and email.
