About The Position

The Rescue Mission is seeking a full time Payroll Specialist to work in our Finance Department. The Payroll Specialist is responsible for ensuring accurate and timely processing of payroll for all employees in compliance with federal, state, and local regulations. This role maintains payroll records, prepares reports, and resolves payroll discrepancies while providing excellent customer service to employees and management. The Payroll Specialist collaborates with HR and Finance teams to ensure data integrity and supports audits and other payroll-related projects. The payroll specialist will also support accounts payable with data entry and record keeping.

Requirements

  • Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • Minimum two (2) years of experience in finance, accounting, payroll or other related fields required.
  • Experience with payroll software systems (e.g. ADP, Paychex, Paycor, or in-house systems)
  • Excellent mathematics and communication skills required.
  • Knowledge of Microsoft products including Word and Excel
  • Knowledge of wage garnishments, benefits deductions, and overtime calculations
  • Attention to detail and high level of accuracy
  • Strong understanding of payroll procedures and relevant federal, state, and local laws (e.g. FLSA, tax withholding)
  • Strong organizational skills

Nice To Haves

  • Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) from the American Payroll Association (not required)

Responsibilities

  • Coordinate bi-weekly payroll submission in the third-party payroll system.
  • Maintains accurate employee records.
  • Maintains the withholdings, time policies, and accruals set up in the third party payroll system Paycor.
  • Resolves payroll exceptions on timecards and balances hours to the payroll register.
  • Record payroll related entries for month end and year end close.
  • Prepares reconciliations of benefit (health, 401k, dentals, etc.) and garnishment related payables.
  • Provides information by answering requests from employees and outside agencies related to payroll and attendance.
  • Assists with Accounts Payable data entry and record keeping.
  • Works with third party payroll service to determine the accuracy of the calculation of employee federal and state income and social security taxes, and employer's social security and unemployment payments.
  • Maintains payroll guidelines by writing and updating policies and procedures.
  • Stay up to date on trainings and policy changes and trainings as assigned
  • Cross coverage as needed for other Accounting positions.
  • Contributions to the team effort by accomplishing all assigned tasks in a productive manner, focusing on quality workmanship.
  • Regular and predictable in-person attendance is an essential requirement of the job.
  • Perform other duties as assigned.
