About The Position

We are seeking a detail-oriented Payroll Specialist to manage and process multi-state payroll operations for a growing organization of approximately 550 employees. This role supports multiple pay groups across our trucking, environmental services, and brokerage divisions. The ideal candidate is highly organized, deadline-driven, and experienced in complex payroll environments with varying pay structures. Experience with Paycor HRIS is strongly preferred.

Requirements

  • 3+ years of payroll processing experience, preferably in a multi-state environment
  • Experience managing payroll for multiple pay groups and varying pay structures
  • Strong knowledge of payroll laws, tax regulations, and compliance requirements
  • Experience with Paycor HRIS (or similar payroll systems such as ADP, UKG, Paycom)
  • High attention to detail and accuracy
  • Strong organizational and time management skills with the ability to meet strict deadlines
  • Proficient in Microsoft Excel and payroll reporting tools
  • Ability to handle confidential information with discretion

Nice To Haves

  • CPP (Certified Payroll Professional) certification
  • Experience with DOT-related pay structures (mileage, per diem, etc.)
  • Experience supporting audits or compliance reviews
  • Experience in trucking, logistics, environmental services, or similar industries preferred

Responsibilities

  • Process end-to-end payroll for multiple pay groups (weekly, bi-weekly, and/or semi-monthly) across multiple states using Paycor HRIS
  • Ensure accurate calculation of wages, including overtime, bonuses, commissions, per diem, and other variable pay components
  • Maintain compliance with federal, state, and local payroll laws and regulations, including multi-state tax requirements
  • Manage employee tax setup and updates, ensuring proper withholding and compliance across jurisdictions
  • Process and administer wage garnishments, levies, and child support orders in compliance with applicable laws
  • Review and audit payroll data for accuracy, including timekeeping records, deductions, and earnings codes within Paycor
  • Manage payroll adjustments, off-cycle payments, and corrections as needed
  • Reconcile payroll prior to transmission and validate payroll reports
  • Maintain payroll records and ensure proper documentation for audits and internal controls
  • Process employee changes including new hires, terminations, rate changes, and deductions
  • Respond to employee payroll inquiries in a timely and professional manner
  • Complete employment verifications (VOEs) accurately and promptly
  • Manage and respond to payroll-related mail, including agency correspondence and employee documentation
  • Support year-end payroll processes including W-2 preparation and reconciliation
  • Partner with HR and Accounting to ensure alignment on employee data, benefits deductions, and reporting
  • Assist with payroll system updates, implementations, or process improvements as needed
