About The Position

The firm's ambitious growth agenda and increasing complexity has led to a commitment to invest in the firm's internal support functions. A key element of this investment is the recruitment of additional Payroll staff to provide overall support and assist with the growing population of US / global associates. This role will contribute to the efficient operations of the payroll team to ensure the accurate and timely completion of all internal and external deliverables. The coordinator will perform a variety of duties to ensure the accurate preparation and processing of the firm’s associate payrolls as well as synthesize large quantities of complex information under strict time deadlines with patience, professionalism, and poise. The coordinator will follow established processes and help identify best practices as regulations or systems change.

Requirements

  • Minimum of 1-3 years experience in fast paced payroll environment; ADP / Workday experience preferred.
  • Demonstrated experience and ability with computer applications including Excel and Word
  • Strong organization, analytical, and critical thinking skills.
  • Excellent verbal, written, and people skills.

Responsibilities

  • Maintain the Payroll system by providing input or uploads as necessary or scheduled. Maintain financial controls, and assure all transactions comply with audit /regulatory requirements by location.
  • Assist with cross check of new joiner / termination associate entry as well as review of HRIS notifications, assist with monthly payroll calculations and any other payroll information on an as needed basis.
  • Assist with processing payroll and final payroll check before transmitting payrolls; assist with manual payroll calculations and payments. Adhere to stated deadlines, including pre- and post-transmit audits.
  • Liaise with payroll provider and assist with the payroll calculation check on payroll reports provided by the payroll vendor. May need to set up ad hoc, manual payroll payments, depending on location.
  • Maintain outstanding client service relationships with other firm departments and outside payroll vendors to resolve any outstanding payroll questions, make process improvements, or help achieve finance / firm goals.
  • Lead process for the weekly payroll, including overseeing the summer associate program (May – Aug annually).
  • Assist with handling overall monthly / ad hoc reporting, including but not limited to:
  • Data entry for any / all 3E (financial system) associate timekeeper information including FTE updates (globally)
  • Retrieve all ICIMs documents – distribute to team members.
  • Prepare vacation reports, based on 3E time entry (international locations only)
  • Prepare / distribute various ad-hoc reports.
  • Prepare / assist with monthly FP&A report.
  • Assist with handling all queries and escalate, as necessary:
  • Benefits team / Attorney Talent / HR teams regarding EE effects on payroll and “what if “payroll calculations.
  • Maintain strict confidentiality of information and discussions.
  • Works in a self-directed manner, producing an accurate, well-documented work product often under time sensitive deadlines.
  • Ability to interact effectively with all levels of personnel, including management staff and support staff.
  • Must be flexible to respond quickly and positively to shifting demands and opportunities.
  • Ability to plan, organize and conduct multiple related activities.
  • Must pay attention to details and can follow up and follow through.
